Position Summary

Under the general supervision of an administrator specific to the grant, the incumbent will assist with the planning and implementation of the specific program; performs program administrative support duties including maintaining records, tracking data, collecting documentation for reporting, purchasing and assists in other duties as assigned that are in alignment with meeting grant objectives, activities, supporting compliance, and documenting outcomes, while promoting the mission and vision of the college.

This is a classified position. An incumbent in this position performs professional duties and has the responsibility to assist and support the success of the grant project and has more independent decision making for program planning and implementation, based on the grant agreement / objectives outlined in the proposal. The incumbent will be self-directed and will have frequent interaction with faculty, support staff, students, and administration as related to the grant.


Essential Functions and Qualifications

  1. Participates in the day-to-day services and activities of assigned grant project or program;answers questions over the phone or at a front counter andresolves escalated questions and concerns from students, faculty, staff, vendors, and the public regarding assigned program and services;explains program or service processes, procedures, rules and guidelines.
  2. Performs administrative or program support functions requiring specialized knowledge of the program or grant and administrative work processes; maintains program calendars and schedules; maintains records, databases and files; verifies participant initial, ongoing program eligibility, tracks program participation, and academic progress for funding or reimbursement purposes; generates and reconciles reports from multiple data sources.
  3. Performs intake duties and schedules services or provides referrals to other departments, the county or community services as needed; oversees the distribution and tracking of a variety of vouchers; independently performs research as related to the grant.
  4. Acts as a liaison between students, other campus programs and departments and refers students to counselors and to community resources; assists in the placement of students in internships, apprenticeships, or work-based learning experiences.
  5. Assist the Project Director / Principal Investigator in monitoring budget allocations and expenditures; maintains financial and statistical records and prepares reports; assists in developing program budgets, objectives and procedures within District guidelines;tracks and maintains payments to students and federal, state and county
  6. Assists with the logistics of major events including liaison work with other campus departments and facilities, event participants, vendors and sponsors; oversees logistics for and participates inprograms, activities, and workshops as required.
  7. Participates in program marketing including preparation of promotional materials, invitations and publications; updates and maintains the department or program website and social media accounts.
  8. Assists with recruiting, hiring, and training student employees and monitors their work for accuracy and conformance with applicable requirements and standards.
  9. May participate on internal and external committees; interacts with community agencies, business/ industry, local government, local high schools, other colleges and academic institutions.
  10. In conjunction with the business services and institutional grants departments; coordinate, compile data, and prepare written grant reports and interact often with grant accounts in the Business Services department to track budget and timeline alignment.
  11. If required by the grant, assists in establishing an advisory committee; serves as a member of the committee, coordinates meetings, sets agendas, and maintains meeting records.
  12. Performs other related duties as assigned.

Minimum Qualifications

Education and Experience:
Associates degree and two years' experience as related to the grant program or any combination of experience and training that would likely provide the required knowledge and abilities to perform the position.

Knowledge of:

  • Modern office practices, procedures and equipment including advanced knowledge of computers and applicable software programs.
  • Program goals, objectives, policies, procedures and practices applicable to area of assignment.
  • Compliance with federal, state or local funding requirements / Uniform Administrative Requirements for Federal Awards (2 CFR Part 200)
  • District rules, policies and procedures applicable to departmental and division operations.
  • Basic research methods and analysis techniques.
  • Applicable sections of the California Education Code, Title V and other applicable laws.

Demonstrated ability to:
  • Communicate orally, written and interpersonal skills.
  • Provide customer service in person and over the phone.
  • Knowledge and ability to use a computer and typical office software.
  • Excellent organizational skills.
  • Work collegially with staff.
  • Perform mathematical calculations; assist in monitoring a program or department budget.
  • Assist in the planning and implementation of programs and activities in assigned program or department.
  • Understand, interpret, explain and apply applicable laws, codes and regulations.

Working Conditions:
  • Duties are primarily performed in an office environment, at a desk or at a computer terminal.
  • The incumbent will experience interruptions while performing normal duties during the
    regular workday.
  • The incumbent will have contact, in person, by email, videoconferencing or on the telephone, teleconferencing, with executive, management, supervisory, academic and classified staff and the general public.

Physical Demands:
  • Typically, may sit for extended periods of time.
  • Operates a computer.
  • Communicates over the telephone and in person.
  • Regularly lifts, carries and/or moves objects weighing up to 10 pounds.

Special Qualification :
Evidence of a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.

Additional Information

The desired start date is July 2026. This is a part-time, 25-hour, classified, 12-month position. This position is contingent on continued funding.

Work Location: This position is primarily on-site at our Santa Maria campus. Remote work may be approved upon request, subject to business needs and manager approval.

Work Schedule: Monday - Friday, 8:00 a.m. - 1:00 p.m.
