Job Description
General Purpose of Job: The Medical Student Coordinator oversees the administrative, scheduling, and operational support for medical students completing clinical rotations. Serving as the primary liaison between students, faculty, and clinical training sites, this role ensures smooth onboarding, accurate scheduling, compliance with accreditation standards, and consistent communication throughout the students' clinical education experience. Clinical Placement & Scheduling
- Coordinate and manage clinical rotation schedules for medical students across multiple sites.
- Serve as the main point of contact between academic institutions, hospitals, and preceptors.
- Maintain accurate placement records and ensure rotations meet curriculum and accreditation requirements.
Onboarding & Compliance
- Facilitate onboarding processes, including immunization verification, background checks, drug screens, and hospital credentialing.
- Secure necessary facility access such as ID badges, EMR logins, and parking permissions.
- Track compliance deadlines and follow up with students to ensure all requirements are met.
Administrative & Database Management
- Maintain student records and documentation in systems such as VSAS, ACEMAPP, New Innovations, or similar platforms.
- Assist with affiliation agreements, renewals, and documentation required for clinical partnerships.
- Prepare reports, maintain spreadsheets, and support accreditation documentation as needed.
Orientation & Student Support
- Organize and deliver orientation sessions for incoming students.
- Provide ongoing support by answering questions, resolving logistical issues, and directing students to appropriate resources.
- Communicate rotation expectations, policies, and updates clearly and consistently.
Evaluation & Assessment Coordination
- Distribute, collect, and track evaluations from faculty, residents, and preceptors.
- Monitor completion of assessments, attendance records, and required forms.
- Assist with grade submissions and ensure timely processing of evaluation data.
Communication & Relationship Management
- Act as a liaison between medical schools, clinical departments, and healthcare facilities.
- Maintain professional relationships with site coordinators, faculty, and administrative staff.
- Support program leadership with communication, scheduling, and special projects.
Job Requirements
| Work Experience |
* Experience working collaboratively with faculty, students, and clinical staff. * Prior administrative experience in a medical education or academic site preferred. * Experience with scheduling systems or medical education platforms is a plus. * Experience in a hospital, academic medical center, or GME/UME office preferred. * Familiarity with AAMC Visiting Student Learning Opportunities (VSLO) preferred. * Understanding of clinical workflows and hospital operations preferred. |

* High school diploma or equivalent required. * Associates degree in Healthcare Administration, Education, Business, or a related field preferred. |
| Specialized Knowledge and Skills |
* Strong organizational and time management skills with the ability to handle multiple priorities. * Excellent written and verbal communication abilities. * Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). * Ability to work independently, maintain confidentiality, and collaborate with diverse stakeholders. * Detail oriented with strong problem solving skills. |
