Overview
Are you a natural relationship builder that values long-term partnerships? We are looking for a dedicated Associate Account Manager to join our Mechanical Service team! The Associate Account Manager delivers exceptional service and assists with project coordination, customer correspondence, reporting, billing, and other tasks and works closely with Account Managers to ensure projects run smoothly while gaining experience in account management, sales, and the industry.
Responsibilities
- Provide administrative and operational support to Account Managers and customers, ensuring smooth project execution and exceptional service.
- Prepare and deliver proposals for repairs and small projects under the direction of the Account Manager.
- Execute assigned components of projects, including:
- Coordinate labor in partnership with the dispatch team and Labor Manager
- Purchase and track equipment and materials
- Secure required licensing, permits, and insurance
- Schedule subcontractors and overseeing their engagement
- Conduct project kickoff meetings with assigned technicians
- Complete startup documentation and warranty registrations
- Perform service deliverable reviews to confirm project standards are met.
- Meet sales and gross profit goals.
- Conduct site surveys, collaborate with support staff to develop preventative maintenance proposals; coordinate labor resources with Dispatch Coordinators for optimal results, and manage jobs as assigned.
- Respond promptly to internal and external calls and emails to ensure maximum customer satisfaction and support sales efforts.
- Develop written scope proposals based on estimates, including for repairs and small projects.
- Build and maintain strong relationships with end users, key contractors, and engineers to support customer retention and satisfaction.
- Contribute to business growth by helping identify new customer opportunities and assisting in establishing new accounts.
- Approve accounts payable and receivable items in a timely manner.
- Promote the company's full range of service offerings, including mechanical, plumbing, electrical, building automation, fire and security systems, and monitoring services.
- Participate in sales meetings, project reviews, and other required company meetings.
- Attend monthly safety lunches, perform safety audits, and support a "Stay Safe" culture.
- Identify opportunities for process improvements and communicate recommendations to management.
- Use CRM to prepare proposals, manage customer communications, track sales activities, forecast opportunities, and prepare proposals.
- All other duties as assigned.
Requirements
- High school diploma or GED required; Bachelor's degree preferred.
- Previous experience in customer service, project coordination, sales, or administrative roles is preferred; bonus consideration for those who have worked within the mechanical, electrical, or limited energy fields.

- Highly organized, with the ability to prioritize and manage competing customer needs.
- Proven ability to build and maintain strong, trust-based relationships.
- Self-motivated and able to work effectively with minimal supervision.
- Ability to present to both internal and external groups.
- Eager to learn and promote the company's full range of services and capabilities.
- Proficient in standard office software, including Microsoft Office and Google applications.
- Strong desire for professional growth, with the ability to learn and retain technical information.
Working Conditions
- Performance of duties will be in the office, at customer sites, and job sites as needed.
- Ability to stand or sit for extended periods of time.
- Exposure to loud noise, dirt, and exposure to the elements are to be expected on job sites, along with uneven ground, bending, kneeling, twisting, and climbing ladders/stairs.
