This is an excellent opportunity for an experienced project management professional with strong operational expertise to support faculty administration and compensation processes within the AMC Division of General Internal Medicine (DGIM). The Project Manager is a full-time role responsible for leading and coordinating high-priority faculty-related workflows, with a primary focus on faculty offer letters, salary calculations and changes, and compensation-related approvals and submissions.
Reporting to the Senior Directors of AMC DGIM, the Project Manager will oversee workflow coordination, process standardization, and execution of key operational and strategic initiatives across the division. Core responsibilities include preparing, reviewing, and tracking faculty offer and addendum letters; calculating faculty salary components and changes; and managing the submission and approval of compensation-related documentation. The role also includes establishing and maintaining processes for one-time payments, ensuring accuracy, consistency, and compliance across all submissions.
The Project Manager will collaborate closely with stakeholders across MGH, BWH, and MGB to ensure timely execution of deliverables while maintaining centralized documentation and clear communication throughout each process.
In this multifaceted role, the successful candidate will build and maintain strong relationships with internal and external partners. The role requires exceptional organizational, administrative, time management, and communication skills, along with sound judgment, initiative, and the ability to work effectively both independently and collaboratively. A consistently professional and detail-oriented approach is essential.

The Project Manager will serve as a key operational lead supporting faculty administrative and compensation processes across the AMC DGIM. This role is responsible for executing and continuously improving workflows related to faculty offer letters, salary calculations, and compensation submission processes.
Responsibilities include, but are not limited to:

Partner with AMC DGIM Senior Directors to manage priorities, anticipate deadlines, and prepare materials for meetings, presentations, and key deliverables.

Attend meetings on behalf of Senior Directors, as needed, and ensure timely follow-up on action items and next steps.
*
Provide executive-level calendar management for two Senior Directors, aligning priorities, optimizing schedules, and ensuring seamless coordination of high-level meetings and commitments.
*
Manage the end-to-end process for faculty offer letters and addendum letters, including drafting, review, revision, and coordination with stakeholders across MGB to ensure timely and accurate completion.
*
Calculate faculty salary components, salary changes, and other compensation elements in accordance with established guidelines and supporting data.
*
Prepare and submit faculty compensation documentation for review and approval, ensuring completeness, accuracy, and compliance with institutional requirements.
*
Establish and maintain standardized processes for one-time payments and other compensation-related workflows.
*
Track and process DGIM extra payments across BWH, BWFH, MGH, and DFCI, ensuring all submissions include appropriate supporting documentation and are submitted to payroll on time. This work supports approximately 150-200 payments per payroll cycle, totaling $800K-$1.2M.

Partner with payroll managers across MGB to ensure timely and accurate processing of all compensation-related payments.
*
Prepare monthly accrual reports for finance and perform variance analyses across multiple cost centers to support financial oversight and accuracy.
*
Provide project management and administrative support across DGIM initiatives, including research, education, and hospital medicine, as needed.
*
Master's degree or related discipline or clinical background strongly preferred
*
Preferred 5 or more years of project management experience, with responsibilities, in an academic, research, or clinical setting
*
Experience with project-based tools for spreadsheet design and management, presentations, and flow charts
*
Proficiency with standard office software (Microsoft Word, Excel, PowerPoint and Outlook as well as internet applications) and facility with learning new computer applications
*
Excellent judgment and an ability to maintain confidentiality.
*
Strong writing and verbal presentation skills, proofreading all addendums for accuracy.
*
Strong organizational, administrative, time management, and communication skills
*
Excellent interpersonal and management skills, with facility to interact professionally at all levels and plan and initiate new activities
*
Experience and proven ability to work in large, complex healthcare organizations, develop relationships, and navigate matrixed structure, preferred
*
Training in process improvement and change management techniques preferred
*
Sound judgment and ability to interpret and follow protocol requirements
