The FF&E Coordinator I supports project teams by assisting with furniture, fixtures, and equipment (FF&E) coordination throughout the project lifecycle. This entry-level role focuses on basic planning, vendor coordination, and documentation tasks under supervision.

The FF&E Coordinator I reports to the Director, Facilities Program Operations, with a dotted line report to Lead of FFE/Activation.

Responsibilities

  • Handle Facilinet furniture and move requests.
  • Obtain quotes for furniture & equipment and assist with procurement activities.
  • Support planners with Trimble processes and documentation.
  • Assist in managing project closeouts, including final invoices and details.
  • Create and maintain project lists and budgets for user & project manager review.
  • Work with Project Managers throughout project phases.
  • Identify items in AST to reduce inventory and optimize purchasing costs.
  • Attend key planning, design, and construction meetings.
  • Maintain awareness of vendor contracts and client objectives.

Qualifications

EDUCATION
  • Associate's degree preferred; equivalent work experience acceptable.
EXPERIENCE
  • Minimum 1 year of professional experience in a comparable setting.
SPECIAL SKILLS
  • Basic understanding of FF&E processes and project workflows.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks in a fast-paced environment.

SPECIAL WORKING CONDITIONS AND PHYSICAL DEMAND
  • Regularly required to sit, use hands, reach with arms, and communicate effectively. Occasionally lift and/or move up to 25 pounds. Moderate noise level in work environment.
