Asset Management Coordinator

12+ month contract

Downtown, Dallas (Hybrid)

This role requires experience in managing total lifecycles for hardware, software and cloud services assets. Supporting procurement activities, vendor and asset lifecycle coordination, operational processes for one of the Technology organizations. This role partners closely with multiple cross-functional teams to facilitate and manage technology purchasing, support renewals and cloud services plus ensuring accurate accounting and accruals of assets

Responsibilities


  • Manage organization's procurement activities for net-new purchases, hardware/software renewals, vendor professional services, and related technology requests following established procurement processes.
  • Maintain detailed asset tracker for all software, hardware and cloud services utilized within the organization / department.
  • Proactively track upcoming hardware and software support renewals, partnering with stakeholders to validate business needs and process purchase orders before support expiration dates, targeting initiation approximately 90 days in advance.
  • Facilitate renewal/termination decisions by meeting with stakeholders to drive renewal or termination of support decisions prior to agreements notify by dates, providing feedback to sourcing and supplier relations teams.
  • Review vendor quotes for completeness and accuracy, common missed execution requirements, provide feedback to stakeholders or vendors for revisions prior to submission/processing.
  • Manage invoice approval workflow, including routing to appropriate approvers and resolve discrepancies to ensure timely and accurate processing.
  • Attend and actively participate in meetings focused on project projections, accruals, and project health updates.
  • Weekly technology sourcing sync meetings to ensure alignment on current and upcoming needs, including preparation of content to be shared in next days' organization wide meeting deck.
  • Contribute to fiscal demand planning and forecasting activities for resource and procurement needs.
  • Support administrative and operational initiatives that improve team effectiveness and business processes.



Qualifications


  • Demonstrated acumen in tracking and managing asset lifecycles
  • Strong organizational, project coordination skills and time-management skills, ability to manage multiple concurrent workflows with attention to detail.
  • Experience supporting procurement, vendor management, operations, or business coordination functions.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong communication and cross-functional partnership skills.
  • Experience with purchase orders, invoices, contracts/SOWs, and onboarding processes preferred.
  • Must maintain strict confidentiality of sensitive and proprietary information; any unauthorized disclosure will result in termination in accordance with company policy.



Estimated Min Rate: $28.00
Estimated Max Rate: $40.00
