Job Description

The Office Support Assistant IV (OSA IV) serves as a vital member of the Department of Dermatology, providing administrative, operational, and customer service support to faculty, staff, students, and clinical personnel. As the first point of contact for patients, visitors, and stakeholders, this position plays a key role in creating a welcoming environment while ensuring the efficient day-to-day operation of the department. This position supports departmental leadership through scheduling, inventory management, financial reconciliation, educational support activities, and coordination of departmental initiatives.

Primary Duties & Responsibilities
* Serve as the primary front desk contact, greeting visitors and providing exceptional customer service.
* Answer and direct incoming calls, emails, and inquiries.
* Manage calendars, schedules, meetings, and appointments for faculty and departmental leadership, including Medical Directors.
* Complete quarterly time studies for Medical Directors.
* Maintain inventories of retail products, clinic consumables, equipment, and office supplies, including monitoring expiration dates and stock levels.
* Create and reconcile expense reports in PeopleSoft for departmental purchases.
* Support the Department Chair by preparing and maintaining OPPE documentation.
* Track Continuing Medical Education (CME) allowances for residents.
* Serve as a backup resource for student and shadower communications and support student administrative needs.
* Track and enter faculty teaching activities into Mission-Based Management (MBM) systems.
* Assist with departmental financial tracking and reporting activities.
* Monitor faculty and Advanced Practice Provider leave and schedules, reconciling information across multiple systems.
* Coordinate facilities requests and support departmental events and special projects.
* Maintain departmental communication boards and materials that promote University initiatives and culture.
* Demonstrate professionalism, confidentiality, adaptability, and commitment to teamwork while performing other duties as assigned.

Preferred Qualifications
* Experience providing administrative support in a healthcare, academic, or higher education environment.
* Strong organizational, customer service, and communication skills.
* Ability to manage multiple priorities and maintain accuracy in a fast-paced setting.
* Experience with scheduling, inventory management, expense reconciliation, and data tracking.
* Proficiency with Microsoft Office and the ability to learn University and healthcare software systems.
* Demonstrated ability to work collaboratively with diverse groups while maintaining confidentiality and professionalism.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $17.05 - $20.00 hourly
