HJF is seeking an Onboarding Coordinator who provides administrative project oversight of a narrower scope under the direction of a supervisor. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks. Has a general knowledgeable of business unit policies.

This position will be in support of the PesMOA Program located at the Uniformed Services University (USU) in Bethesda, MD.

  • Facilitates information flow as a liaison between Uniformed Services University (USU) Departments, Centers, or Programs (Principal Investigators, Department Directors, and/or Program Managers), the Facility Security Officer (FSO), incoming new hires, and HJF corporate and field personnel (recruiters, HR business partner, HQ PMs.)
  • In close collaboration with the FSO & Security Specialist tracks, the status of USU security investigations for new HJF hires, to include completion of Electronic Questionnaires for Investigations Processing (NBIS) form, OF 306 (Declaration for Federal Employment), and completion of fingerprints.
  • Manages the onboarding lifecycle by facilitating the preparation, collection, and submission of all required installation documentation, including the DoD Cyber Awareness Training certificate, System Authorization Access Request SAAR) forms, and Common Access Card (CAC) Application form. Ensure timely initiation of IT resources by submitting the Onboarding bundle in ServiceNow.
  • Works closely with the appropriate Department Hiring Manager and Administrative officer to prepare first-day logistics (e.g., base access, parking instructions, onsite point of contact upon arrival, work location) and communicates this information to new hires before their first day.
  • Facilitate base access for incoming personnel and HJF staff for security processing (fingerprinting) and scheduled on-site events.
  • Advises and provides guidance on Common Access Card (CAC) and organizational System Access Expiration Date (SAED) renewals; acts as HJF's information channel for all location safety and security matters; and liaises with local safety and security offices to ensure site-specific practices are known and communicated.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance and participation in required training for role.

Education and Experience

  • High school diploma or GED required; Bachelor's degree preferred.
  • Minimum of 3-5 years of experience is required.

Required Knowledge, Skills, and Abilities

  • Must possess exceptional organizational skills.
  • Knowledge of organizational objectives, office automation
  • Ability to work independently, use sound judgment in solving problems, coordinate many complex systems and programs at the same time
  • Excellent communication and interpersonal skills.
  • Ability to obtain and maintain a T1 Public Trust background check.

Physical Capabilities

  • Lifting: Requires lifting materials up to 10 lbs.
  • Ability to stand or sit at a computer for prolonged periods.

Work Environment

  • This position will take place primarily in an office setting.

Compensation

  • The hourly pay range for this position is $25.38-$40.77. Actual hourly pay will be determined based on experience, education, etc.
