Position Summary

The Division of Education, within the Department of Internal Medicine, is seeking a organized, detail-oriented individual who can work
effectively with others and independently in a multi-task environment. The
primary purpose of the Medical Education Program Specialist is to ensure
continuity of key operations and accreditations for a large, complex ACGME
accredited residency program. The
program currently has 108 residents typically encompassing a multitude of
sub-specialties. Under the general
supervision of the Academic Program Manager, the Education Program Specialist
must work to ensure that all administrative requirements of the residency
programs are met.

Duties include, but are not limited to, the following:

  • Planning
    and implementing recruiting activities for the residency program which includes
    organizing events, navigating websites involved in the process, data
    management, and coordination of schedules with multiple faculty and staff
  • Provision of administrative services to the residents
  • Oversees
    the establishment and maintenance of clinical rotation schedules, both on and off
    site
  • Coordinates
    and provides oversight of educational conferences as required by accreditation
    agencies
  • Develops and provides oversight of personnel files for all
    house staff.
  • Updating and maintaining websites and social media
    platforms for the residency and fellowships
  • Provides associated administrative support to the Office of
    Education faculty
  • Provides
    supervision student employees, including work allocation, training performance
    evaluation, enforcement of internal procedures and controls, and problem
    resolution
  • May also assist
    with the coordination and administration of a 4th year medical student program
  • Maintain
    knowledge of accreditation rules and regulations and help ensure ongoing
    compliance with all requirements

Conditions of Employment

Minimum Qualifications

High school diploma or GED; at least 6 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Demonstrated
    ability to communicate effectively, both orally and in writing with a wide
    range of constituencies in a diverse community
  • Experience
    with Smartsheets, New Innnovation, Tiger and Thalamus
  • Candidate
    must have demonstrated strong organizational skills and ability to handle
    multiple complex components of a program
  • Demonstrated
    Banner Finance experience including P-card and LoboMart
  • Candidate
    must have demonstrated effectiveness at working in a team environment and
    supporting fellow employees in their work
