Job Summary

The Warehouse Operations Coordinator provides administrative and operational support to warehouse management and distribution center operations. This role is responsible for order management, invoicing, documentation control, inventory-related administration, and customer service support. The position works closely with warehouse personnel, management, vendors, and customers to ensure accurate processing of orders, shipping documentation, inbound and outbound transactions, and compliance-related records. The ideal candidate possesses strong organizational skills, experience working within ERP systems, and the ability to manage multiple priorities in a fast-paced distribution environment.

Job Responsibilities



  • Provide administrative support to warehouse and distribution center management.
  • Manage customer and internal orders through ERP systems such as SAP, Oracle, or similar platforms.
  • Process and maintain order documentation, invoices, packing slips, bills of lading (BOLs), and shipping records.
  • Monitor order status and ensure timely and accurate processing of transactions.
  • Support inbound and outbound logistics documentation and recordkeeping activities.
  • Maintain operational logs, reports, audit documentation, compliance records, and performance metrics.
  • Assist with inventory-related documentation and issue resolution.
  • Ensure accuracy of shipping, receiving, and order processing documentation.
  • Communicate with internal departments, customers, vendors, and warehouse personnel regarding order status and operational issues.
  • Assist with freight claims, damaged product documentation, and discrepancy investigations.
  • Support warehouse compliance initiatives, safety documentation, and training record maintenance.
  • Monitor and report process deviations, documentation errors, and operational concerns.
  • Maintain accurate records within ERP and warehouse management systems.
  • Provide exceptional customer service to internal and external stakeholders.
  • Participate in special projects and additional operational support activities as assigned.


Job Requirements



  • High school diploma or equivalent required.
  • Associate's degree or bachelor's degree preferred.
  • Minimum of 2 years of administrative, customer service, warehouse support, logistics coordination, order management, or related experience.
  • Experience working with ERP systems such as SAP, Oracle, or similar platforms.
  • Strong data entry and documentation skills.
  • Experience processing invoices, orders, shipping documentation, packing slips, and bills of lading.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Strong written and verbal communication skills.
  • Excellent organizational, multitasking, and time management abilities.
  • Ability to work independently and prioritize workload with minimal supervision.
  • Strong attention to detail and accuracy.
  • Ability to work effectively in a fast-paced warehouse and distribution environment.


Work Experience



  • 2-4 years of experience supporting warehouse operations, logistics, distribution, customer service, order management, inventory administration, or related functions.
  • Experience with SAP preferred.
  • Experience with Oracle or other ERP systems acceptable.
  • Experience supporting warehouse management teams is highly preferred.
  • HVAC, manufacturing, distribution, logistics, or supply chain experience is a plus.
