Primary Purpose of Department
The primary purpose of the Performance & Analytics unit is to enhance operational performance within Facilities Management by integrating quality assurance, data analysis, and process improvement into a unified, closed-loop system. The unit systematically captures and analyzes performance data, transforming field observations into actionable insights that identify trends, risks, and high-impact opportunities.


Functioning as a performance engine for the organization, the unit leads targeted, data-driven improvement initiatives that proactively address issues, optimize processes, and reduce operational inefficiencies. Through a continuous feedback approach, the unit ensures that solutions are effectively implemented, measured, and sustained.


This function serves as a central driver of consistency, efficiency, and informed decision-making, strengthening overall operational effectiveness and alignment with organizational goals.
Primary Purpose of Position
This position operates within the integrated structure of Performance & Analytics and supports the department's integrated approach to Quality Assurance, Analytics, and Process Improvement across Facilities Management. The role provides independent analysis, operational review, and program coordination that support leadership decision-making, continuous improvement efforts, and operational accountability throughout the organization.


The position functions as a cross-functional liaison between operational units and departmental leadership, helping translate operational data, quality findings, and process evaluations into actionable recommendations and sustainable improvements. While supporting analytical and programmatic initiatives across multiple Facilities Management functions, the position also serves as a primary subject matter resource for maintenance operations, maintenance management practices, CMMS/ EMS systems, and asset management workflows. The role contributes to the development of operational standards, performance metrics, reporting practices, and improvement strategies that enhance service delivery and organizational effectiveness.
Summary of Position Responsibilities

  • Analyze operational, financial, and performance data to identify trends, risks, performance gaps, inefficiencies, and opportunities for improvement across Facilities Management operations.
  • Develop, maintain, and refine performance metrics, KPIs, dashboards, analytical reports, and benchmarking tools to support operational monitoring and leadership decision-making.
  • Evaluate operational performance related to service delivery, work management, backlog, response times, preventive maintenance activities, and resource utilization to support operational effectiveness and continuous improvement efforts.
  • Integrate analytical findings with quality review activities and process improvement initiatives to support operational accountability, consistency, and service performance.
  • Translate complex operational and analytical data into clear, actionable insights, recommendations, and decision-support materials for managers, leadership, and stakeholders.
  • Conduct recurring, ad hoc, trend-based, and scenario-driven analyses to support operational planning, performance evaluation, and continuous improvement initiatives.
  • Identify, investigate, and assist in resolving data integrity, reporting, and process inconsistencies across multiple operational systems, reporting platforms, and organizational units.
  • Coordinate the collection, validation, integration, and interpretation of data from CMMS/EAM systems and other operational reporting sources to support accurate and reliable reporting practices.
  • Prepare reports, dashboards, presentations, visualizations, and operational summaries for leadership, operational units, and cross-functional stakeholders using tools such as Tableau, Power BI, Smartsheet, or Microsoft Excel.
  • Serve as a consultative resource to Facilities Management units in interpreting operational data, evaluating performance measures, and identifying process improvement opportunities. Support operational assessments, quality review activities, and performance monitoring initiatives to assist leadership in evaluating operational effectiveness and service outcomes.
  • Contribute to the development, refinement, and standardization of reporting practices, analytical methodologies, operational metrics, and performance management processes.


Minimum Education/Experience

  • Bachelor's degree in public administration, business administration, facilities management, analytics, or a related field, and
  • Two years of relevant experience, or an
  • Equivalent combination of education and relevant experience.

Preferred Education, Knowledge, Skills and Experience

  • 3-5 years of experience working in Facilities Management, higher education, or a similarly complex operational environment.
  • Demonstrated ability to analyze operational processes and develop improvement recommendations.
  • Experience working with operational data, reporting systems, or performance metrics.
  • Experience developing, analyzing, or reporting operational KPIs, performance metrics, dashboards, and benchmarking data to support operational decision-making.
  • Experience using analytical and reporting platforms such as Tableau, Microsoft Excel, Smartsheet, Power BI, or similar data visualization and reporting tools.
  • Working knowledge of CMMS/EAM systems, asset management principles, maintenance operations workflows, and operational reporting practices.
  • Knowledge of Lean, Six Sigma, continuous improvement methodologies, or similar operational improvement frameworks. Willingness to obtain Lean Six Sigma Green Belt certification within a specified timeframe.
  • Experience supporting operational reviews, process improvement initiatives, workflow analysis, or cross-functional operational projects.
  • Knowledge of Quality Assurance principles, operational assessment practices, and continuous improvement methodologies.
