Pro-Active Engineering is seeking a
Shipping Coordinator Lead. This is a hands-on role and performs packaging and shipping activities to ensure accuracy, completeness and condition of shipments in accordance with defined policy standards, established procedures and regulations. Combines expert-level operational execution with direct supervisory oversight, team culture development, and high-level quality compliance management.
Essential Functions
- Administer accurate record keeping to ensure required traceability, precision and/or evidence that each material handling operation is documented and transaction history is reliably maintained.
- Ensure all material is properly packaged and maintained in accordance of defined manufacturer specifications, industry regulation(s) and company standards, (ESD handling, vacuum seal, moisture control, etc.).
- Perform and accurately record inventory cycle count results, as needed.
- Maintain Packaging / Shipping area in a clean, organized, and safe manner in accordance with defined standards and policies being sure to properly dispose any unnecessary debris, clutter, and product recycling.
- Handle and Route Non-Conforming Materials (NCM) in accordance with established procedures and practices.
- Process customer and supplier material return authorizations' (RMAs) with the cooperation and coordination of Supply Chain and Quality department representatives.
- Prepare and package material shipments with required certification paperwork in accordance with established procedures, policies and industry regulations.
- Perform outgoing shipment activities to validate and ensure accuracy, compliance and condition of material shipments are in accordance with industry and regulatory standards and adheres to established work processes, instructions and defined systems practices.
- Generate shipping labels, bills of lading, and packing slips, with appropriate shipping information and complete appropriate paperwork.
- Assist with loading and unloading delivery vehicles; to include lifting and stocking material in appropriate areas throughout the Materials area.
- Coordinate and schedule material pick-ups and shipments in an effective and timely manner.
- Promptly communicate delivery exceptions to pertinent functional personnel.
- Provide ongoing process review and suggestions for improvement.
- Monitor and request shipping supplies including boxes, bags, and bubble wrap, etc.
- Team Leadership: Supervises direct reports, approves timecards, and assists with hiring and talent acquisition
- Training & Culture: Audits team skill levels, delivers targeted training and monitors group participation to improve performance.
- ISO Alignment: Serves as primary auditor for the department's adherence to the ISO Quality Management System.
- Goal Setting: Translates corporate metrics into daily and weekly goals for the Shipping team.
- Strategic Oversight: Oversees the end-to-end flow of scheduled material shipments, high value returns and strategic vendor coordination

Supervisory Responsibility
This position has supervisory responsibilities with 2 -3 direct reports.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit, use hands, reach with hands and arms, use fine hand motor skills/dexterity, use repetitive motions, and lift and/or move up to 35 lbs. semi-regularly. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Required Education and Experience
- High School diploma or equivalent (GED)
- 2+ years relevant experience and ability to work in a fast-paced manufacturing environment.
- Advanced Computer Experience such as ERP, Outlook, Excel, and Word.
Preferred Education and Experience
- Knowledge of Inventory Management Software and Job Management Software.
- Knowledge of electronic components and equipment.
- Experience with UPS and FedEx software and process.
- Previous coaching, training, or lead experience.
