This position will report to the Director of Administration.
The Office of the President (
OTP) is seeking a Senior Administrative Assistant for the front office responsible for front desk duties in addition to general administrative tasks. This role will provide administrative services and special project support within the Office of the President.
Responsibilities include, but are not limited to:
- Answering phones, routing calls, and taking messages in a professional and timely manner
- Greeting visitors, notifying staff of their arrival, and maintaining a welcoming reception area
- Keeping updated phone and mail logs
- Maintaining cleanliness and organization of the reception area
- Coordinating mail flow in and out of the office for the OTP and Provost's Office, including collecting, sorting, and distributing parcels and correspondence
- Maintaining updated records and files, organizing storage and common spaces, and ensuring office supplies are fully stocked
- Managing conference room reservations for rooms in Buildings 1918 and 1922
- Monitoring and managing the President's scheduling inbox, ensuring timely responses and coordination of requests
- Providing scheduling support, including coordinating calendars, confirming meeting logistics, and resolving scheduling conflicts
- Processing presidential intake forms and preparing associated briefing materials
- Assisting the OTP Director of Administration with calendar coordination, memo and document review, and meeting and event setup
- Preparing and processing expense reports accurately and in a timely manner
- Supporting employee onboarding activities, including supply orders, office setup, and employee welcome
- Serving as backup support for team members during absences to ensure continuity of operations
- Assisting with special administrative projects and office-wide coordination efforts
- Developing a working knowledge of all aspects of conference and event operations to support planning and execution
- Coordinating with facilities, maintenance, mail services, and security personnel to ensure smooth day-to-day operations and office continuity, including building management support
Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

| Minimum Qualifications: |
Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |
