Job Description

The Senior G&C Specialist will supervise two C&G specialists, responsible for pre-award submissions and post-award activities, document & create processes flows, and other duties as assigned by the Physics Director. Liaise with the Office of Sponsored Projects and other research support offices on campus.

Responsibilities
  • Pre-award Support: Review & analyze University sponsored project proposals for compliance with sponsor, federal, state, local and university guidelines & regulations including drafting/renewing research agreements. Provide guidance for corrections when proposals do not meet criteria. Provide comprehensive grant proposal development support: research submission process, create detailed budgets & budget justifications, draft, format & copy/edit proposal documents, create an electronic proposal review form, upload proposal application packages to online sponsor interfaces. May research the needs and/or interests of potential sponsors & offers more detailed reference information to faculty initiating proposals. Liaise with the Office of Sponsored Projects (OSP) & other research support offices on campus & ensure accurate & timely submission.

  • Post-award Support: Assist with post award actions such as no-cost extensions, credit requests, progress/performance reports, other sponsor requests, and aid in annual reviews for funding sponsors; manage PI status requests, PI changes, grant transfers, account closeout costing transfers and costing allocation changes. Ensure extensions on research projects are requested in a timely manner and follow up on agreement & modification negotiations. Assist faculty with the preparation of financial and/or progress, expiring award reports requested by agencies for award continuation &/or final reports. Prepare reporting related to Effort Verification, monthly spend reports and adhoc account reporting. Manages contract closeout process and audit inquiries.

  • Process Improvements & General Assistance: document, modernize, streamline, & implement improvements to enhance processes and create efficiencies. Includes developing procedural documentation & organizing data/files to ensure compliance with records retention & program policies & requirements.

  • Supervision: Supervise G&C staff.

  • Subaward/Subrecipient Support: Collaborate with UT research offices to draft new subaward agreements & modifications to comply with prime sponsor requirements including all applicable federal, state, or University policies/regulations. Coordinate subrecipient monitoring activities, including collection of subrecipient audit & research compliance information.

  • Systems: Utilize internal &/or external systems associated with electronic proposal & subcontract submissions. (I.E., Research Management System (RMS), PAMS, ORCID, NIH Commons, ProposalCentral, Simons Award Manager (SAM), SciENcv, etc.) Including troubleshooting issues with systems as needed.

  • Communication & Professional Development: Professional & effective written & oral communication when addressing faculty, staff, & students. Maintaining a high degree of emotional intelligence. Engage with university departments/offices as appropriate. Participate in professional development to remain current with UT, local, state & federal guidelines, regulations, & electronic submission requirements

  • Other: Performs related duties as required. At the direction of Director, assist in assignments, tasks, or duties outside of the regular job duties.

Required Qualifications

Bachelor's degree and minimum of five-years' experience in preparation, processing, and negotiation of research grant and contract proposals. Knowledgeable in federal, state, local and University guidelines and regulations. Experience interpreting policy and implementing procedures. Excellent oral and written communication skills. Experience working effectively with faculty, staff, students, and other university constituencies. Must be agile with change management and working in fast paced environment with competing deadlines. Able to manage long term projects and detail oriented. Excellent customer service skills, including a high degree of emotional intelligence, and ability to act as facilitator. Proficient with MS Word/Excel. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Proficient with UT Austin specific systems/software and electronic proposal submission systems.

Supervisory experience.

Passed the Certified Research Administrator (CRA) exam

Salary Range

$70,000/year + Depending on experience
