Position Summary

Under general supervision, the Benefits Administrator is responsible for the accurate and timely administration of benefits programs for all employees of the University. This role involves managing employee benefits, ensuring compliance with regulations, and providing support to employees with benefits inquiries. The position will also perform backup payroll duties in support of the Manager, Payroll & Benefits.

Our generous benefits package includes medical, dental, and vision plans; paid parental leave; short term and long term disability plans; life insurance; flexible spending accounts; and a 403(b) retirement plan which includes an 8% employer contribution after 2 years of service. RFUMS is committed to employee wellbeing and work-life balance. Full time staff are eligible for 3 weeks of vacation/ personal leave, 15 sick days, and 9 paid holidays, paid winter break, plus two floating holidays.

This position may be eligible for a flexible work arrangement after 90 days, which could include a work from home option 1-2 days a week.

Essential Duties & Responsibilities

1. Benefits Administration:

  • Handle the day-to-day administration of the employee benefits programs, including health, dental, vision, life insurance, retirement plans, and other benefits.
  • Manage daily benefits enrollment, changes, and terminations in ADP Workforce Now.
  • Coordinate benefits and enrollment experience for annual enrollment and the benefit plan year transition, including coordination of benefits materials, review of employee enrollment system tools and resources, and coordination of benefit meetings. In addition, respond to and facilitate issue resolution related to employee and HR inquiries.
  • Serve as the subject matter expert and manage the end-to-end leave process for all leave programs (FMLA, short/long-term disability, parental leave, worker's compensation, and state-mandated paid leaves) including the distribution of required notices, tracking medical certifications, monitoring leave timelines, and coordinating return-to-work logistics.
  • Facilitate the ADA interactive process in collaboration with legal/HR leadership, evaluating accommodation requests, documenting medical restrictions, and implementing reasonable workplace accommodations.
  • Assist with written and online benefits program documentation and communications to support employees, maintain compliance with regulations, and HR policy.
  • Act as the primary liaison between employees and insurance brokers/carriers to resolve complex claims issues.
  • Assist Manager, Payroll & Benefits with miscellaneous projects and assignments as needed including annual reporting and audits.
  • Maintain all pages on intranet related to benefits, including FMLA and disability to ensure the most current information is in place and available to all employees.
  • Manage Workers Compensation claims

2. Employee Support:

  • Respond to employee inquiries regarding payroll, benefits, and related matters.
  • Conduct weekly new hire benefit orientation and the annual medical residents presentation on benefits.
  • Assist employees with using the ADP Workforce Now self-service portal for payroll and benefits information.
  • Provide ongoing support and training to employees on payroll and benefits processes.

3. Compliance Reporting:

  • Prepare and submit required benefits reports, including ACA reporting, 403(b) contributions, and other regulatory filings.
  • Conduct regular audits of benefits data to ensure accuracy and compliance.
  • Monitor and stay updated on changes in benefits regulations.
  • Ensure compliance with all applicable benefits laws and regulations, including FMLA, ADA, ACA, COBRA, and ERISA.

4. Process Improvement:

  • Identify opportunities to streamline benefits processes within ADP Workforce Now.
  • Implement best practices to enhance the efficiency and accuracy of benefits administration.
  • Participate in continuous learning to stay current with industry trends and updates including ADP Workforce Now.

5. Miscellaneous

  • Assist other HR team members as requested.
  • Participate on committees and contribute ideas to team projects.
  • Perform backup payroll support as needed.
  • Other duties as assigned.

Required Education & Experience

  • Bachelor's degree or equivalent experience
  • 2+ years benefit and leave administration experience
  • Experience with federal, state, and local regulations related to benefit plans and administration (including ERISA, ACA, COBRA, FMLA, ADA, and FLSA).
  • Familiarity with HRIS systems
