https://ualr.edu/law/ Summary of Job Duties:The Assistant to the Associate Dean provides administrative support to the Associate Dean for Academic Affairs. The Assistant to the Associate Dean is the primary point of contact for the office.This position is governed by state and federal laws and agency/institution policy. Qualifications:

Required Education and/or Experience:

  • A bachelor's degree.

Preferred Education and/or Experience:

  • Experience in higher education is preferred.

Job Duties and Responsibilities:
Adjuncts:

  • Coordinates the Adjunct Faculty program, including coordinating new hire paperwork and disseminating academic policies and information (book ordering, class cancellations, and exams) to the adjunct faculty;
  • Is the primary contact point for all adjunct faculty;
  • Some evening and weekend work may be required to support adjuncts.

Registration and Curriculum:

  • Reviews final schedule for accuracy and distributes it to various departments and prepares documents for registration purposes;
  • Reviews the official course information for accuracy;
  • Notifies students of cancelled and makeup classes;
  • Maintains and disseminates the official information on the law school curriculum;
  • Prepares and submits forms for curriculum revisions, maintains the curricular information available on line, and answers curricular questions from students, faculty, adjunct faculty, and the general public;
  • Updates and maintains Academic Rules, including dissemination to faculty and law school community;
  • Answers questions about law school policies and procedures from students, faculty, staff, and the general public;
  • Keeps record of first class assignments and syllabi;
  • Reserves rooms for all classes every semester.

Exams:

  • Manages the building schedule and exam schedule during exams;
  • Schedules and administers makeup exams;
  • Keeps a record of all student accommodations;
  • Schedules exam rooms for students with accommodations and corresponds with both students and faculty members about special exam conditions.

Book Orders:

  • Collects book orders from adjunct and full-time faculty;
  • Works with the bookstore on ordering books for law faculty;
  • Prepares book list for distribution to students.

Surveys:

  • Compiles data needed for the annual American Bar Association survey, the annual U.S. News & World Report survey, and the national Law School Survey of Student Engagement;
  • Serves as the institutional liaison for the LSSSE survey.

Student Course Evaluations:

  • Works with main campus to coordinate student evaluations of all faculty;
  • Keeps electronic and physical copies of results for review.

Administrative Support:

  • Provides administrative support for the Associate Dean, including drafting correspondence and screening incoming calls and visitors;
  • Handles travel for the Associate Dean, including scheduling, making arrangements, and processing reimbursements;
  • Maintains records necessary for the effective, efficient running of the Associate Dean's office;
  • Provides administrative support for Student Services as needed.

Knowledge, Skills, and Abilities:

  • Proven ability to self-initiate and manage projects;
  • Ability to organize multiple tasks that have been concurrently assigned;
  • Exceptional communication skills both orally and in writing;
  • Ability to work well with other people in ongoing relationships and difficult situations;
  • Knowledge of internet and conventional office technology tools;
  • Knowledge of how to create and maintain reliable digital records;
  • Knowledge of the organization and administration of the law school;
  • Knowledge of campus and law school rules, regulations and procedures;
  • Knowledge of the legal community and various legal organizations, such as the Arkansas Bar Association;
  • Ability to compile information into report form.
