Position Overview
Unit Clerks/Receptionist support the health and well-being of residents by providing essential administrative and coordination support to the nursing unit. This role serves as a central communication point for staff, residents, families, and external providers while ensuring accurate documentation and smooth daily operations.

Responsibilities
What You'll Do
- Maintain and organize resident medical records in compliance with regulatory standards
- Audit charts and ensure documentation accuracy and completeness
- Close medical records following hospitalization or discharge
- Prepare admission and discharge summaries and coordinate required documentation
- Support care planning, MDS processes, and interdisciplinary team meetings
- Schedule resident appointments including labs, consults, dental, podiatry, and other services
- Maintain lab schedules and ensure timely completion of required testing
- Manage unit supplies, forms, and treatment materials through ordering and inventory tracking
- Assist with clerical functions such as typing lists, updating records, and preparing documentation
- Distribute mail and support communication across the unit
- Respond to call lights and direct requests to appropriate staff when needed
- Support resident transport coordination and scheduling of facility van services
- Assist with obtaining statistics and documentation for reports and regulatory surveys
- Maintain confidentiality of all resident information in accordance with HIPAA standards
- Participate in staff meetings, training sessions, and in-service education
Qualifications
Unit Clerk Qualifications:
Minimum of 16 years of age required; HS diploma or equivalent preferred Employment Certificate/Permit required for applicable individuals Office practice skills necessary Knowledge of medical records processing preferred but not required Attention to detail and accuracy in work required Personal qualities of tact and dependability, caring and compassionate attitude toward residents An understanding of need for confidentiality and discretion in processing of information about residents required. Basic understanding of medical terminology and accepted abbreviations. This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
