Position Title: Market Access Operations Coordinator

Location: Remote (United States)

Contract Duration: 12 months

Work Schedule: Part-time role (15-25 hours per week).

  • The role requires availability spread across at least 3-4 business days per week (ideally 5 days), with the ability to support CST and/or EST business hours.
  • The role involves managing a moderate volume of engagements (approximately 10 consulting firms and 6-7 independent consultants).
  • Financial responsibilities focus primarily on utilization tracking and funding monitoring rather than full accounting/budget ownership.



Position Summary

The Contractor, Market Access Consulting Operations will provide essential operational support to the Market Access Strategy organization. This role focuses on the end-to-end operational management, coordination, onboarding, contracting, and governance of individual consultants and consulting firms. The position involves vendor and contract management, purchase order (PO) coordination, financial tracking, consultant utilization monitoring, and cross-functional coordination to ensure smooth and compliant consulting engagements.

This is a coordination-heavy role that requires strong organizational skills, attention to detail, proactive follow-up, and the ability to work independently as a self-starter.

Key Responsibilities

1. Individual Consultant Management

  • Manage onboarding, maintenance, and closeout of individual consultants in iHub and related systems
  • Coordinate consultant interviews, contracting, FMV (Fair Market Value) documentation, and engagement setup
  • Maintain a centralized repository of consultant profiles, contracts, engagement history, and expertise
  • Proactively monitor consultant agreements, funding balances, and utilization to ensure timely renewals/extensions
  • Coordinate scheduling of ad-hoc consulting meetings and engagements
  • Track and ensure proper documentation and upload of meeting materials, attendee details, and compliance records into iHub
  • Support identification and onboarding of new consultants to strengthen the consultant bench



2. Consulting Firm & SOW Management

  • Support onboarding and operational coordination of consulting firms
  • Assist with creation, renewal, amendment, and tracking of Statements of Work (SOWs)
  • Manage purchase order (PO) submission, tracking, and PO Change Notices (POCNs)
  • Monitor consulting spend, accruals, utilization, and funding status across engagements
  • Track and support timely invoice processing and reconciliation activities
  • Partner with Procurement and Finance teams to ensure seamless processing and continuity of engagements



3. Strategy Team Operational Support

  • Provide operational and logistical support for Strategy-led summits, advisory boards, panel discussions, and consulting engagements
  • Support calendar coordination, meeting scheduling, and cross-functional communication
  • Assist with documentation tracking, compliance uploads, and stakeholder follow-ups
  • Provide general administrative and operational support for consulting-related activities



Required Skills & Qualifications

Top 3 Skills:

  1. Vendor & Contract Management - Experience managing consultant/contractor onboarding, contracts, SOWs, and engagement lifecycle
  2. Financial & Budget Coordination - Experience tracking budgets, POs, utilization, funding balances, accruals, and spend reporting
  3. Project Management & Cross-Functional Coordination - Strong ability to manage multiple priorities, coordinate across teams, and drive operational tasks independently



Additional Requirements:

  • 3+ years of experience in project coordination, vendor management, consulting operations, procurement, or financial operations
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Excellent written and verbal communication skills
  • Proven ability to work independently as a proactive problem-solver ("independent thinker") without constant supervision
  • Strong tech savviness and comfort working with procurement systems, vendor management platforms, and collaboration tools
  • Experience supporting scheduling, calendar management, and meeting coordination
  • High comfort level coordinating across multiple stakeholder groups (Procurement, Finance, Compliance, Strategy, etc.)



Education & Experience

  • Bachelor's degree in Business, Finance, Operations, or related field is preferred but not required. Relevant experience and demonstrated ability to independently manage operational processes are prioritized.
  • Experience in pharmaceutical, healthcare, Market Access, or consulting environment is a strong plus.
  • Prior exposure to contract management systems (e.g., iHub), PO processes, and vendor onboarding workflows is highly preferred.
