Essential Job Duties
Support the success of the Department of Chemistry's research mission by providing comprehensive administrative, financial, and operational support to six to seven research groups on NC State's North Campus. These research groups currently include 42 graduate students, 8 postdoctoral scholars, and 3 permanent research personnel, with continued growth expected as faculty secure additional funding and expand their research programs. Working closely with Principal Investigators (PIs), faculty, students, postdoctoral scholars, and departmental staff, this position helps ensure research operations run efficiently by providing responsive administrative support, coordinating financial and personnel activities, and serving as a trusted resource for the assigned research groups.

Key Responsibilities

Research Administration & Personnel Support


  • Provide comprehensive administrative support to six to seven research groups by assisting with payroll, personnel, and administrative actions, including the recruitment and employment of visiting scholars and postdoctoral researchers.
  • Interpret university guidelines, answer inquiries, and advise research group members on COS sponsored research processes, departmental services, and administrative procedures, including non-standard situations.



Financial & Procurement Administration


  • Monitor financial activity for assigned Principal Investigators (PIs), including grant and non-grant accounts, and prepare budget and forecasting reports as requested.
  • Coordinate procurement activities by processing Marketplace orders, requisitions, purchase orders, vouchers, and PCard transactions/reconcillations; obtain vendor quotes; and coordinate returns, repairs, and maintenance for chemicals, supplies, and equipment.


Operational & Administrative Coordination


  • Coordinate travel arrangements and assist with travel reimbursements for PIs, research group members, and visitors.
  • Schedule meetings, seminars, and guest visits; prepare meeting agendas; maintain administrative spreadsheets and shared Google documents; manage weekly Business Office mail distribution; and assist with updates to department and research group websites.

Qualifications




Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Preferred Qualifications

  • Experience providing administrative support in a higher education, research, or academic environment.
  • Experience supporting financial administration, including grant and non-grant account monitoring, budget reporting, or financial reconciliations.
  • Experience processing procurement transactions, including PCard purchases, Marketplace orders, requisitions, purchase orders, or vouchers, while ensuring compliance with organizational financial policies.
  • Demonstrated knowledge of NC State University policies, procedures, and administrative systems related to finance, travel, human resources, or research administration.
  • Experience with Google Environment and Microsoft Office.
