Overview:

West & Wheeler is seeking a dedicated and experienced Director of Real Estate Operations to oversee and enhance our property management activities. This role involves close collaboration with Managers and Property Management companies to ensure optimal operational performance across our diverse portfolio. The ideal candidate will have a strong understanding of real estate operations across multiple asset types.

Key Responsibilities:

Oversee Property Managers and Property Management Companies to ensure optimal operational performance in the following areas:



  • Rent Collections
  • Certificates of Insurance
  • Vacant Unit Turns
  • Vacant Unit Marketing
  • Lease Renewals
  • Facility Maintenance and Improvement
  • Facility Projects
  • Profit & Loss Performance
  • Operating & Capital Budgets
  • Compliance with Company Policies
  • Reporting


Leadership & Supervision:



  • Hire, train, evaluate, and manage property management staff.
  • Ensure compliance with company policies and local, state, and federal laws.
  • Foster a productive and professional work environment to maximize morale and performance.
  • Set clear expectations and conduct performance reviews, disciplinary actions, and terminations as necessary.


Operations Management:



  • Oversee day-to-day operations of assigned properties, including commercial, residential, moorage, storage, and trailer spaces.
  • Fill in for property managers when needed to ensure uninterrupted service.
  • Ensure safety regulations are followed and properties are maintained to standard.
  • Supervise facility repairs, preventative maintenance, and long-term facility planning.
  • Safeguard company assets and revenue through oversight and controls.


Financial & Contract Oversight:



  • Manage rent billing, collection cycles, past-due accounts, and eviction processes.
  • Review and understand Profit & Loss statements and cash balances for each entity.
  • Manage vendor relationships, procure supplies, and oversee expense approvals.
  • Prepare tenant statements, owner reports, expense summaries, and vendor payment documentation.


Customer Service & Leasing:



  • Maintain strong, respectful relationships with tenants and resolve conflicts efficiently.
  • Show, prepare, and execute leases for various property types.
  • Respond to tenant concerns and inquiries in a timely and professional manner.
  • Negotiate lease renewals and manage contractual obligations.


Communication & Planning:



  • Communicate effectively with ownership and the Asset Manager on operational matters.
  • Provide strategic input on long-term facility planning and financial projections.
  • Support company growth by identifying operational improvements and efficiencies.


Supervisory Responsibilities:

This role has supervisory responsibilities, including direct supervision of property managers or administrative staff. The Director is responsible for overall team development, performance, and accountability.

Qualifications

Required Qualifications:



  • Proven experience in real estate operations or property management.
  • Strong understanding of P&L management and financial analysis.
  • Excellent communication and collaboration skills.
  • Ability to manage multiple projects and priorities effectrively.
  • Leadership skills and experience in team management.


Education & Experience:



  • Bachelor's degree in business, finance, economics, or a related field.
  • Minimum of 5 years of progressive experience in real estate operations or property management.
  • Equivalent combinations of education and experience will be considered.


Skills & Abilities:



  • Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with property management or finance software preferred.
  • Strong interpersonal, communication, and conflict resolution skills.
  • Knowledge of lease structures, rent collection, and financial reporting.
  • Ability to work independently, solve problems, and prioritize competing tasks.

Physical Demands and Work Environment:

Physical:

Frequently required to stand, walk, and sit; occasionally stoop, kneel, or crouch. Must occasionally lift and/or move up to 25 pounds.

Work Environment:

Frequent exposure to outdoor weather conditions, wet or humid environments, airborne particles, and moderate to loud noise levels.

Other:

Compensation Philosophy:

We maintain broad salary ranges for our roles in order to account for variations in experience, training skills, geographic location, and market conditions, as well as to reflect our differing products and lines of business. The pay range referenced is as of the time of the job posting.
