Special Events Assistant
Wage: $17.00 - $20.00 hourly
*Please note - this is a yearlong position but is classified as a part-time, seasonal position.



Primary Function

Assists in providing community special events. Serves in a supervisory capacity for special events. Is responsible for the management of safety practices and ensuring the implementation of high-quality events.

Reporting Relationship

Works under the general supervision of the Recreation Supervisor - Special Events. Supervision may be exercised over staff and volunteers.

Major Duties and Responsibilities
  1. Assists in hiring staff/volunteers for events.
  2. Works with Recreation Supervisor to help organize, coordinate and lead the implementation of community activities.
  3. Works with vendors to obtain prices, equipment and supplies.
  4. Responsible for event readiness including site and facility inspections.
  5. Assists in ensuring proper supervision of event.
  6. Performs event set-up and take down.
  7. Responsible for on-site public relations at Special Events. Appropriately handles questions and concerns at the site. Observes, enforces and explains all facility rules and regulations.
  8. Assist in the implementation of financial procedures, ensures consistency in WPRF operational standards.
  9. Responsible for verifying staff/volunteer hours. Completes and submits the hours each week to Recreation Supervisor.
  10. Attends and provides all in-service training, ongoing evaluations and staff/volunteer trainings. Is responsible for programming including communication, scheduling staff volunteers. Reviews current staff manual.
  11. Ensures implementation of the facility/site emergency action plans and facility/site rules.
  12. Communicates equipment and supply needs to the Waukesha Parks, Recreation and Forestry Department.
  13. Ensures that the staff/volunteers follow proper procedures. Prepares, submits records and reports as needed.
  14. Reports immediate concerns to Recreation Supervisor - Special Events.
  15. Completes event evaluations.
  16. Carries out additional duties as may be assigned.


Position Qualifications

  1. Must be at least 18 years of age or older
  2. Must hold current American Red Cross CPR, First Aid and AED certification (or can obtained through the department within the first year of employment)
  3. Prefer knowledge of concession stand operations, cash handling and safe food handling procedures.
  4. Ability to assign duties and supervise personnel, volunteers and contractual entertainment.
  5. Prefer college or university graduate with training in business, marketing, recreation or related area.
  6. Must be able to lift
