Job Summary

This position provides administrative support to the Associate Dean for the Tower campus of the Drexel University College of Medicine and the Senior Associate Dean of Student Affairs. The successful candidate will be a self-starter who can work independently, prioritize tasks, and maintain strong attention to detail in a fast-paced environment. Strong interpersonal skills and facility across a wide range of situations are required for interactions with faculty, students, and administrative staff across the medical school and Tower Health.

Essential Functions



  • Provide administrative support for the Associate Dean, Regional Campus by maintaining calendar, scheduling meetings and sending out Zoom video conference links for meetings as directed.
  • Organize and manage all WR staff and faculty search processes, including coordinating screening activities, scheduling and overseeing in-person interview days, and ensuring consistent, efficient procedures that support fair evaluation of qualified candidates.
  • Coordinate and prepare materials for appointments and meetings, including travel arrangements, document preparation, correspondence, and event planning as needed.
  • Order and maintain office supplies, perform data entry and data collection, and manage routine and time-sensitive communications with students, faculty, staff, and administration.
  • Assist in organizing programs, events, and activities, including room and food coordination and logistic management.
  • Obtain and provide relevant information for scheduled appointments, including travel arrangements, document preparation, letter writing, coordinating the preparation of meetings and events when needed.
  • Serve as the primary point of contact for faculty, students, administrative leaders, Tower Health representatives, and other community stakeholders seeking meetings with the Deans.
  • Meet and greet visitors, direct inquiries to appropriate personnel.
  • Schedule, attend, take minutes, and provide administrative support for assigned committee meetings and assigned project-based work.
  • Participate in search committees and provide support with search processes, maintaining a consistent and efficient search.
  • Maintain task assignments and meeting deadlines; collaborate with faculty and staff in projects to meet set goals.
  • Serve as the primary point of contact for faculty and staff to the WR Office of Student Affairs, serving as a liaison to appropriate Student Affairs functions and/or staff, and scheduling meetings with the Senior Associate Dean of Students Affairs as needed
  • Handle student promotions and appeals meetings, time sensitive student matters, filing student notes and relevant documents in an accurate and timely manner.
  • Schedule one-on one meetings for students with the Senior Associate Dean for Student Affairs.
  • Other duties as assigned.


Required Qualifications



  • Minimum of a Bachelor's Degree or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.)
  • Minimum of 3 years of experience in administrative support.
  • Excellent computer skills and proficiency using Microsoft Office Suite.
  • Ability to create documents, spreadsheets, presentations, and manage email efficiently.
  • Basic data analytic skills.

  • Experience working in an academic institution.

Additional Information
This position is classified as Exempt, grade J. Compensation for this grade ranges from $52,360 - $78,530 per year. Please note that the offered rate for this position will vary based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
