Title: Grant and Project Coordinator - MiCORE

Purpose: The Michigan Community Outreach and Response Engagement (MiCORE) Grant and Project Coordinator will provide program and administrative support to ensure timely completion of CDC grant deliverables, work plan objectives, reporting requirements, and key milestones. Coordinates project timelines, monitors progress and facilitates communication across internal and external teams. Leads planning and coordination of key MiCORE activities, including the annual summit, monthly leadership meetings, and annual document audits. Serves as a liaison between MiCORE, HIV Prevention Units, and partners to incorporate feedback, support evaluation, and strengthen program deliverables. Maintains program documentation, data, budgets, and performance information to support CDC reporting, accountability, and continuous improvement.
Duties and Responsibilities:
- Provide program and administrative support for the MiCORE project and team, including, but not limited to: CAMP milestones, end of Budget Period deliverables, and work plan completion.
- Manage timelines associated with MICORE PowerPoint presentations, factsheets, annual reports, manuscripts, and other CDC-required project deliverables.
- Maintain proactive and timely communication with staff by monitoring deadlines, providing reminders and follow-ups, and delivering regular status updates to ensure tasks and deliverables remain on track.
- Oversee and function as the point person to facilitate the planning of the annual MiCORE Annual Summit in partnership with MPHI.
- Partner with HIV Prevention Clinical Consultant to ensure documents and deliverables are on the Michigan HIV and AIDS Council (MHAC) and Southeast Michigan HIV and AIDS Council (SEMHAC) agendas for review by the NDR Sub Committee.
- Assist HIV Prevention Coordinator with updates to standard operating procedures (e.g., Internal Stakeholder Group (ISG), Community Outreach Group (COG), outbreak response plan and Phased Response Plan on an annual basis.
- Monitor ongoing program operations and recommend modifications of policies and procedures to achieve greater efficiency and effectiveness of the MiCORE program towards process and quality improvements.
- Serve as a liaison between MiCORE and Prevention, incorporating iterative feedback on evaluation activities to strengthen and inform future reports and work plan deliverables.
- Plan, coordinate, and facilitate the MiCORE Monthly Leadership Meeting and the NDR/MICORE bi-weekly huddle, including developing agendas, situation reports, and other updates. Collaborate with the MiCORE team to ensure timeliness in reports to BHSP leadership.
- Responsible for taking notes, documenting action items during all scheduled and ad hoc NDR and MICORE meetings related to the ELC MICORE grant, and document storage and maintenance to ensure accessibility.
- Partner with MICORE Evaluator to oversee internal workplan to ensure CDC objectives are met for Monthly and Quarterly Progress Reports (QPRs).
- Assist MICORE team with ILC requirements as needed and attend each internal MICORE ILC.
- Participate in all required meetings and training courses including confidentiality and security training and signing oath of confidentiality.
- Always represent the best interests of MDHHS and MPHI.
- Other duties assigned by the Section and Q/E and Epidemiology Unit Managers.
Qualifications/Requirements:
Education: A high school diploma or equivalent is required; bachelor's degree preferred.
Experience: 3-5 years of experience performing program support activities and project coordination.

Work Environment and Physical Requirements: This position will work remotely but is subject to change according to departmental policy. Local, state and out-of- state travel may be required for in-person meetings.
