Job Summary

The Software Business Analyst - Conference Services position will serve as a resource supporting Housing and Residence Life's Conference Services operations. Reporting to the Technical Support Analyst, this role will partner with Conference Services leadership, the App Support Team, and other stakeholders to translate operational priorities into clear requirements.

Responsibilities

Requirements Gathering and Documentation

  • Facilitate the discovery of conversations with stakeholders to understand and document current-state processes as well as future state requirements.

Project Delivery Support

  • Support HRL staff in prioritizing and implementing roadmap items through all phases of project delivery, including requirements gathering, development, testing and maintenance.
  • Represent Conference Services by ensuring that scoped requirements are properly included during the project implementation and raise risk if not.

Process Documentation and Knowledge Management

  • Create a Conference Services knowledge vault that organizes critical documentation (SOPs, job aids, guides and documentation) in a consistent, searchable, and easy-to-maintain structure.
  • Document selected current-state and future-state workflows and partner with subject matter experts to validate accuracy and establish ownership for future updates.

Operational Improvement and Reporting

  • Identify and recommend opportunities for efficiency (reduce manual processes, data entry, spreadsheet tracking, and inconsistent handoffs).
  • Develop or support the development of operational reports and dashboards and across platforms as needed.

Strategic Deliverables

  • Along with Application Support Manager and Conference Services staff, prioritize key software functions required to operate Conference Services effectively.
  • End-of-assignment transition summary outlining completed work, remaining gaps, recommended next steps, and ownership considerations.
  • Create and maintain deliverables and project materials in a weekly fashion to aid supervisor and project related discussions.

Required Qualifications

Educational Requirements
Bachelor's Degree in related field or equivalent combination of education and experience

Required Qualifications
Strong analytical, organizational, communication, documentation, and presentation skills.

  • At least 5 years' experience in Higher Education Conference Services operations, including programs, standard operating procedures and industry standards.
  • Experience with software applications specifically utilized by collegiate conference operations.
  • Experience as a user or power user in StarRez software, specifically the Conference Services module.

Preferred Qualifications

  • Power Automate experience and BI/analytics or reporting background.

  • Prior implementation or support of integrated systems

  • Ability to Manage multiple workstreams, deadlines, and stakeholder priorities while working independently and seeking guidance when priorities or decisions need clarification.
  • Ability to identify process or system inefficiencies, determine root causes, and develop effective resolution plans.
  • Promotes a customer-service mindset and seeks solutions that are aimed at improving consistency, reducing manual work, and strengthening operational readiness.
