Staff Assistant

Chicago Department of Transportation

Starting Salary starts at $68,616

This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under direction, assists in the performance of specialized administrative support duties, and develops and implements management methods to improve organizational performance; and performs related duties as required.

ESSENTIAL DUTIES

* Coordinates and provides administrative support to Deputy Commissioner

* Communicates critical matters to appropriate departmental staff

* Prepare reports and correspondence for Deputy

* Creates and organizes files

* Screens visitors and telephone calls; takes messages and uses judgement in forwarding calls to appropriate personnel for response and resolution

* Maintains the Deputy's calendar and schedules appointments;

* schedules meeting rooms and manages meeting arrangements and logistics

* Relays requests for information and directives from the Deputy to departmental staff and provides status reports

* Provides summaries of incoming mail, meeting requests and other items requiring the Deputy's attention and response

* Takes notes at meetings and prepares summaries

* Reviews correspondence and other materials requiring the Deputy's signature before presenting for signature

* Maintains confidentiality of all materials and files

* Demonstrates ability to use MS Word and Excel in typing a variety of correspondence and creating spreadsheets and databases to maintain and track information

* Prepares Power Point materials including charts and presentations

* Conducts research and prepares correspondence in response to inquiries or information requests for the Deputy's signature

* Works on special projects and handles special assignments as directed by the Deputy

* Makes travel and hotel arrangements and prepares paperwork for travel reimbursements

Qualifications

Minimum Qualifications

Graduation from an accredited college or university with a Bachelor's degree or higher in Business Administration, Public Administration or a related field, plus one (1) year of administrative experience

Should the above criteria not be fulfilled, the following options are acceptable:

* Five (5) years of administrative work experience

* Graduation from an accredited college with an Associate's degree in Business Administration, Public Administration or a directly related field, plus three (3) years of administrative work experience

Selection Criteria

This position requires applicants to complete an interview which will include a skills assessment as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the interview process will be selected.
