Description

The Administrative Assistant provides essential administrative support to the General Services division and assists with the coordination of Security Float Pool operations within UCLA Health. The role supports day-to-day administrative functions, including staff support, scheduling, documentation, communication, and coordination across teams. Responsibilities include maintaining confidential information, preparing reports, and supporting financial processes such as invoice reconciliation, payment processing, and monthly recharges.

You will also provide additional administrative and clerical support to General Services Administration, including coordinating sleep room reservations, managing conference room reservations, and assisting with general departmental administrative needs.

Salary Range: $26.42-37.49/hr

Qualifications
  • Minimum of 3 years of related experience or equivalent training.

  • Proficiency with computer software and database systems, preferably including inventory control systems.

  • Basic arithmetic and calculation skills.

  • Strong organizational skills, including the ability to maintain electronic and hard-copy files and accurate records.

  • Strong critical thinking, problem-solving, and decision-making skills.

  • Ability to effectively interact with all levels of management, staff, customers, and vendors.

  • Excellent verbal and written communication skills.

  • Ability to work independently, follow instructions, and complete assignments accurately and within established deadlines.

  • Ability to manage multiple tasks and priorities while meeting specified timeframes.

  • Demonstrated ability to recognize and appropriately handle confidential information, documents, and sensitive matters.

  • Ability and willingness to attend required in-services, workshops, training, safety programs, and drills.
