Adult Day Services Supervisor (Wil-O-Way Grant)

The Adult Day Program Supervisor serves as the onsite operational leader for an assigned Adult Day Program location. The incumbent is responsible for the daily administration, quality, and performance of program operations ensuring the delivery of person-centered services that promote participant independence, health, safety, and community inclusion.

This role will be located at ADS at Wil-O-Way Grant in South Milwaukee. The work schedule will be Monday - Friday, 7:30 AM - 3:30 PM.

ESSENTIAL DUTIES (FUNCTIONS) include the following:

Supervision

  • Supervises assigned department personnel. In coordination with the manager, responsibilities include, but are not limited to:
  • Interviewing, hiring, onboarding, scheduling, performance management, coaching, employee development.
  • Collaborates with direct reports through daily stand up meetings and monthly staff meetings.[MN1] [KR2] [MN3]
  • Ensures accuracy, timeliness, accountability, and quality of work performed by direct reports.
  • Educates staff regarding agency policies, procedures, regulatory requirements, documentation standards, safety practices, and person-centered service delivery.
  • Promotes employee engagement, teamwork, accountability, and a positive workplace culture.
  • Serves as the primary onsite resource for staff during daily operations and emergency situations.

Program Coordination

  • Oversees the daily operation of an assigned Adult Day Program location.
  • Ensures program activities and services reflect participant interests, evidence-based practices, and organizational standards.
  • Identifies opportunities to improve program services and communicates recommendations to the Manager.
  • Develops and distributes activity calendars and daily schedules; coordinates staffing assignments, and ensures participants have appropriate transportation arrangements for arrival and departure.
  • In coordination with manager, maintain attendance records, authorizations, electronic documentation, and required reports.
  • Coordinates the purchasing of program supplies and materials while adhering to approved budget guidelines.
  • Collaborates with Manager on operational priorities, census goals, quality initiatives, staffing, and budget performance.
  • Develops and maintains relationships with families, referral agencies, community organizations, and other stakeholders to support participant services, program awareness, and retention.
  • Maintains current knowledge of emergency procedures and ensures staff understand emergency response protocols.
  • Ensures program areas, supplies, and equipment are clean, sanitary, appropriately stocked, and in good working order. Ensures required maintenance for vehicles and equipment is completed.
  • Participates in management team activities and agency events including fundraisers as required.
  • Participates in assigned meetings, professional development, and training as required.

Participant Services

  • Coordinates participant admissions including referrals, tours, assessments, intake documentation, and service planning.
  • Coordinates interdisciplinary care planning with participants, families, guardians, representative payees, and community partners.
  • Ensures individualized service plans accurately reflect participant goals and support needs.
  • Monitors participant documentation to ensure accuracy, timeliness, and compliance with agency and state standards.
  • Monitors participant spending money to include communication with representative payee or guardian when funds are needed, providing receipts and maintaining a balance sheet.
  • In coordination with the Manager; responds to participant concerns, behavioral issues, grievances, incidents, and emergency situations using sound judgment and appropriate follow-up.
  • In coordination with the Manager; monitors participant census and supports initiatives that promote participant retention and program utilization.
  • Provides direct participant support as necessary to maintain quality services and participant safety.
  • Ensures medications are stored per established agency and medical requirements and regulations.
  • Performs and documents safety drills as required by the Adult Day Care state certification.
  • Reports suspected abuse, neglect and exploitation of participants immediately per program and agency policies and procedures.

*NON-ESSENTIAL DUTIES*

  • Supports the Manager with outreach and marketing efforts by providing site-level information, identifying community contacts and referral opportunities, and participating in outreach activities as appropriate.
  • Supports agency fundraising activities and special events as appropriate.
  • Performs other duties (or functions) as assigned.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to carry out each essential duty satisfactorily.   • Associate or bachelor's degree in human services or related field OR 3 years of related experience required.
  • A minimum of one (1) year of case management experience required
  • A minimum of one (1) year of supervisory experience required.
  • A minimum of three (3) years' experience in disability services required and activity planning preferred.
  • Current CPR, First Aid, CPI, and/or Universal Precautions training/license preferred.
  • Successful physical examination/TB test required.
  • Must have a valid driver's license and reliable transportation.
  • Must have proof of insurance AND meet the requirements of the Employee Driving Policy.
  • A Criminal Background Check must meet the requirements of the State of WI licensure for day programming.
  • A Credit Check is required for this position.

Specialized Skills/Abilities/Knowledge:

  • Knowledge of Universal Precautions and infection control procedures.
  • Ability to exercise safe lifting techniques, operate a mechanical lift and durable medical equipment.
  • Awareness of disability issues and geriatrics.
  • Demonstrated organizational skills.
  • Knowledge of person-centered planning and trauma-informed practices.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
  • Proficiency with Microsoft Office and electronic medical record systems.
  • Ability to build collaborative relationships with participants, families, employees, referral partners, and community organizations.
  • High level of cultural competency and commitment to diversity, equity, inclusion, and belonging.
  • Ability to maintain confidentiality and exercise sound judgment.

PHYSICAL DEMANDS:

  • May be required to lift, carry, push or pull up to 50 pounds.
  • Frequently requires sitting, standing, walking, bending, squatting, kneeling and reaching.
  • Frequently performs 1 to 2 person transfers from chair to toilet and back; from floor to chair and back.
  • Occasionally exposed to loud/noisy environments.
  • Required to drive, and transport clients, which includes assisting individuals in and out of vehicles.
