Position Purpose
Provides administrative support for systems within Dining Services including but not limited to Jamix menu management system, Nutrislice menu management system, Touchworks guest experience and hiring interface software, Finance e-forms and EMS. Primary focus will be on Jamix processes to enter, review, process and assist in troubleshooting and interpreting all data generated by the system. Will assist in training and supporting departmental users in software applications. Other administrative duties include acting as a receptionist for the DDS Administrative office while answering phone calls, assisting guests, and coordinating schedules. Catering assistance as required.

Required Qualifications - Education and Yrs Exp Associates plus 3+ years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities

  • Associate's degree in Information Technology, Hospitality Management, Business Administration, or applicable work experience.
  • Three years of experience in information management systems, report generation and information auditing, and maintaining databases.
  • Administrative skills in a business setting.
  • Excellent interpersonal and communication skills.
  • Strong organizational skills and attention to detail while being able to meet deadlines.

Preferred Qualifications

  • Demonstrated ability to work in a fast-paced high quality food operation and to make sound decisions under pressure in a timely manner.
  • A solid working knowledge of food production and recipe development preferred.
  • Experience with menu management system(s) or applicable database maintenance preferred.
  • Proficiency with Microsoft Office applications and ability to learn new technologies with ease.
  • Able to promote a positive work environment and be committed to achieving excellence in a team setting.
  • Able to work well autonomously or in group settings, can mediate meetings and take diligent notes.
  • Able to maintain a positive attitude while adapting to constant change and evolution.
  • Certain times of the year will require schedule flexibility.

Key Accountabilities


Description
Data Management


  • At the direction of the Operations Support & Catering Manager, coordinates Jamix system utilization to ensure daily operations are seamless and long-term planning goals can be achieved.
  • Provides general coordination and support initiatives within the menu management system including data entry, planning, data review and adjusting the system as needed.
  • Provides coaching, training and support for system users.
  • Maintains menus within Jamix by working directly with location managers, production teams, Dietitian and purchasing managers to maintain operational standardization through technology.
  • Maintains policies and procedures for input of recipes, ingredients, reports, inventory, post meal data entry, purchasing specs, price file updates, and general data base maintenance required as operations evolve.
  • Troubleshoots issues within Jamix and Nutrislice for all user locations including all in one production stations.
  • Prepares reports on programs as requested.

Description
Dining Administration Support


  • Participates in department projects that involve additions to, or modifications of processes and systems at the direction of Director, Associate Director, Executive Chef and Operations Support & Catering Manager.
  • Provides administrative support in coordinating Nutrislice showcase boards, Touchworks Txt-N-Tell and Kinetica platforms, and direct market campaigns. Assist in assigning room reservations for Class of 1953 Commons as requests come in using EMS (Event Management System).
  • Works in a timely manner to ensure that operational technologies are in working order and maintained consistently.
  • Acts as the primary point of contact for the Dining Services Administrative office by responding to inquiries, walk-ins, phone calls, and emails.
  • Ensures accuracy of monthly calendars for salaried staff.
  • Keeps phone list up to date, orders office supplies, coordinates copier maintenance requests, and takes meeting notes for manager meeting.
  • Other duties as required.

  • Reporting to the Operations Support & Catering Manager, assists in catering events as required.
  • Creates line cards to reflect correct menu items and allergens.
  • Assists with decorating for events as needed.
