Summary:

The Contract Administrator is responsible for the administration, analysis, execution, and compliance of crude oil gathering and transportation, terminating, storage, and other related commercial agreements. This role serves as a key liaison between Crude Commercial, Accounting, Risk Management, Legal, and Operations teams to ensure contractual obligations are accurately captured, monitored, and executed throughout the contract lifecycle.

Essential Duties and Responsibilities:

  • Review, analyze, and administer crude oil commercial agreements.

  • Independently own and administer assigned assets and agreements of moderate complexity.

  • Review commercial and operational terms, including quality specifications, delivery obligations, title transfer, and payment provisions.

  • Coordinate agreement preparation, approval, execution, and DocuSign routing with Commercial and Legal.

  • Maintain contracts, amendments, notices, approvals, and supporting documentation in Agiloft and other systems.

  • Monitor contractual obligations, including volume commitments, deadlines, renewals, notice requirements, and termination rights.

  • Communicate relevant contract terms and obligations to Accounting, Scheduling, Operations, and Settlement teams.

  • Interpret contracts and conduct related contract research.

  • Support accruals, settlement inquiries, audits, and dispute resolution.

  • Resolve routine contractual, operational, and settlement issues with limited oversight.

  • Identify and escalate contractual risks, exceptions, and compliance concerns.

  • Monitor force majeure events, insurance requirements, indemnity provisions, and contractual notices.

  • Support counterparty onboarding and due diligence activities.

  • Populate monthly close notes and communicate relevant contract activity to accounting.

  • Maintain accurate contract data, records, and dashboards.

  • Design, develop, and maintain reports, dashboards, and metrics.

  • Participate in system integrations, testing, process improvements, and enhancement initiatives.

  • Use AI, reporting, and contract management tools to improve efficiency and support contract administration activities.

  • Identify and implement opportunities to automate workflows, improve data quality, and enhance business processes.

  • Support joint venture administration by coordinating meetings; preparing agendas, board materials, minutes, written consents, and notices, and maintaining governance records.

  • Monitor joint venture governance requirements and coordinate the timely completion of action items, approvals, reporting obligations, deadlines, and other deliverables.

  • Provide day-to-day guidance and training to Contract Associates.


Required experience is commensurate with the selected job level:

  • The Contract Administrator requires a bachelor's degree or equivalent experience and 2-5 years of relevant job-related experience.

  • The Senior Contract Administrator requires a bachelor's degree or equivalent experience and 5-8 years of relevant job-related experience.

  • The Lead Contract Administrator requires a bachelor's degree or equivalent experience and 8+ years of relevant job-related experience

Preferred Qualifications:

  • Prior Crude/Gas contract administration experience a plus
  • Prior midstream energy experience a plus
  • Knowledge of Agiloft and SAP systems a plus

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

  • In-office working conditions.
  • Must be able to remain in a stationary position 75% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be requested.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
