| Primary Purpose of Organizational Unit |
The Finance team within the Division of Business Affairs supports the University's mission, strategic vision, goals, and objectives by providing comprehensive financial services that promote sound fiscal stewardship, regulatory compliance, operational efficiency, and exceptional customer service to students, faculty, staff, campus departments, and federal, state, and other external stakeholders.
The Student Accounts and University Cashiers Office is responsible for administering the University's student financial operations and serves as the central depository for University revenue. The department manages student billing, cashiering, accounts receivable, student refunds, third-party billing, payment plans, military education benefits, student and non-student collections, departmental receipting, and cash management activities. In addition, the office oversees student financial accounting and reporting, campus financial feeds, Title IV financial aid accounting and federal drawdowns, reconciliation of financial transactions, month-end and fiscal year-end closing activities, and compliance with applicable federal, state,
UNC System, and University regulations.
Through these responsibilities, the Student Accounts and University Cashiers Office safeguards University assets, ensures the integrity of student financial records, supports enrollment and student success initiatives, and provides accurate, timely, and efficient financial services to the campus community. |

| Brief Summary of Work for this Position |
The Student Accounts Representative serves as a primary point of contact for students, parents, faculty, staff, and external stakeholders regarding student financial accounts. This position provides comprehensive customer service and account support by analyzing student account activity, explaining billing and payment processes, resolving account-related inquiries, and administering account holds and adjustments in accordance with university policies and procedures.
The position is responsible for supporting student account operations through the processing of account transactions, maintenance of account records, administration of student account and payment-related holds, and coordination of communications regarding billing and payment obligations. The incumbent serves as a subject matter resource for student account policies and procedures and assists students and families in understanding their financial responsibilities to the university.
The Student Accounts Representative utilizes multiple University systems to research, analyze, reconcile, and maintain student financial records while independently managing assigned student account cases from initial inquiry through resolution. The position coordinates with multiple campus departments to resolve complex account issues, interprets University policies, and exercises independent judgment to ensure accurate account administration, regulatory compliance, and exceptional customer service. The position also assists with account verification requests, tuition reimbursement processing, enrollment confirmations, reporting functions, and other operational activities supporting the Student Accounts and University Cashier's Office.
Work requires the ability to interpret and apply university policies, analyze financial account information, exercise sound judgment when resolving student concerns, maintain confidentiality of sensitive information, and provide exceptional customer service in a high-volume environment. The position serves as backup support for various office functions and contributes to the efficient operation of student receivable and revenue management processes. |
| Minimum Education and Experience Requirements |
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
| Preferred education, professional skills and experience |
- Bachelor's degree in Business Administration, Public Administration, Higher Education Administration, Finance, Accounting, Communications, or a closely related field.
- Two or more years of progressively responsible experience in student services, higher education administration, student accounts, financial aid, accounts receivable, customer service, or a related administrative environment.
- Experience interpreting and applying University policies, procedures, and regulations to resolve student account and customer service issues.
- Experience researching, analyzing, and resolving complex student account inquiries and financial discrepancies.
- Experience working with enterprise information systems such as Banner Student, Banner Finance, TouchNet, Ocelot, SSRS, or comparable ERP and customer relationship management systems.
- Knowledge of student billing, payment processing, refunds, account holds, payment plans, tuition reimbursement, enrollment verification, and higher education business processes.
- Knowledge of FERPA, GLBA, Red Flags Rule, and other federal and state regulations governing student information and financial records.
- Strong analytical and problem-solving skills with the ability to evaluate individual situations, interpret policies, determine appropriate resolutions, and recommend process improvements.
- Excellent customer service, interpersonal, and conflict resolution skills with the ability to effectively communicate with students, parents, faculty, staff, and external stakeholders.
- Excellent written and verbal communication skills with experience preparing correspondence, educational materials, procedural documentation, and public presentations.
- Strong organizational and time management skills with the ability to prioritize multiple assignments, manage competing deadlines, and work independently in a high-volume, fast-paced environment.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, Teams, and technology used to support student services and communication initiatives.
- Experience developing, maintaining, or supporting technology-based communication tools, chatbot platforms, websites, knowledge bases, or online training resources.
- Ability to identify operational improvements and recommend enhancements that improve customer service, efficiency, compliance, and the overall student experience.
