Job Description

The G&C Lead Specialist is a subject matter expert for Grants assigned to their portfolio. They manage the work of Grants and Contracts Analysts who are responsible for entering budgets, preparing, and submitting bills to funders and tracking contract receivables and balances, promptly close out Grants and meet deadlines.

ESSENTIAL DUTIES/RESPONSIBILITIES



  • Manages and prioritizes workflow of the G&C Analyst team
  • Reviews work of G&C Analysts to ensure accuracy, resolves inconsistencies as needed
  • Advises team on funders requirements; ensures that all billing actions comply with Legal Aid Society, local, state, and federal guidelines
  • Trains, mentors, and coaches the G&C Analysts
  • Partners with the Grants & Contracts Manager to analyze the workflow and productivity, for efficiency and accuracy and make recommendations as applicable
  • Work with FP&A to review, and complete budget narratives and provide guidance on funders requirements for budget development
  • Drafts and distributes weekly reports of invoicing and billing metrics
  • Oversees the preparation and timely submission of budgets, periodic reporting including monthly invoices, supporting documents and other requested materials to major government funders and private foundations
  • Maintains and/or ensures maintenance of all records related to information requested and provided to various funders
  • Maintains records of all Grants and Contracts in designated repository
  • Interact with all Finance and cross-divisional teams to coordinate staff allocation changes as appropriate
  • Monitors and manages all billings and related reporting deadlines
  • Ensures that program applications and/or contract budgets are prepared, finalized, and submitted accurately and timely
  • Oversees subcontractor invoicing and payment processes
  • Excellent written and verbal communication, problem-solving and decision-making skills
  • Sense of professionalism, confidentiality, independent and a strong work ethic
  • Reviews contract vouchers and billing submission packages and reports due to government/private funding sources on a timely basis
  • Ensure compliance with New York City's post payment audit requirements.
  • Reviews staff allocation changes and ensure that they are updated in Financial Edge
  • Verifies that reimbursements match contract amounts
  • Initiate timely and accurate follow-up on outstanding accounts receivable balances with grantors
  • Assists with individual program audits, as well as the Society's year-end audit when necessary
  • Work with the unit leadership to ensure that the billing processes are documented, and that the documentation is kept current and tested
  • Perform all other related duties as assigned

Requirements

  • Minimum of BA/BS degree required, with a focus in Finance, Accounting, or related field
  • 7+ years of relevant work experience
  • Nonprofit experience preferred
  • Working proficiency in Excel
  • Prior supervisory experience
  • Experience working with Financial Edge or similar accounting software
  • Understanding of grants and billing practices and laws
  • Understand when to delegate tasks and when to escalate critical time sensitive issues
  • Demonstrate a commitment to quality, accuracy, and thoroughness
  • Versatile in handling multiple tasks simultaneously in accordance with highest priority
  • Ability to meet deadlines, which may require a flexible schedule, as extended working hours may be required during month-end and year-end
  • Excellent written and verbal communication, organization, and problem-solving and decision-making skills
  • Sense of professionalism, confidentiality, and a strong work ethic
  • Excellent supervisory & time management skills
  • Strong analytical and technological skills

Salary Range/ Salary: $79,604.00 - $111,445.00
