The Office of Admissions works collaboratively with the five arts conservatories that comprise UNCSA and is responsible for identifying, cultivating and recruiting potential applicants. The Office responds to requests for information about the programs of study and serves as the first point of contact for prospective students and families; conducts daily campus tours, coordinates and arranges group tours, and organizes and conducts fall and spring Open Houses. The Office compiles and processes all applications for admission and required materials for academic year and academic summer programs; coordinates, organizes and manages auditions and interviews; and communicates with applicants and parents by phone, email, and letter, or in person. In addition to collaborating with the five arts conservatories, the Office works closely with the Office of the Registrar, Financial Aid, Academic and Student Affairs, and other areas on campus.
Primary Description of Work
The primary purpose of the Assistant Director of Operations and Data is to lead all efforts to ensure the Office of Admissions is collecting secure and accurate data throughout the application process, utilizing data to make informed Enrollment Management decisions, and providing accurate data across the UNCSA campus and UNC System. The position will also serve as the manager of all office procedures and administrative staff in the Admissions Office. In addition, this position serves as the Captain of UNCSA's Slate CRM and manages Banner SIS functionality for the Admissions office.

8:00 am - 5:00 pm, some nights and weekends
Description of Responsibilities and Duties
Leadership:

  • Lead all efforts that assure the Office of Admissions is collecting and providing accurate data within the enrollment systems and across the UNCSA campus.
  • Serve as the University's Slate "Captain", the key architect of UNCSA's admissions application, application processes, and all related Slate functionality.
  • Responsible for assisting in testing of systems, new processes, applications, etc., as necessary.
  • Collaborates with technical/system personnel in other offices such as IT, Financial Aid, Registrar's Office, and Finance to assist in troubleshooting system-related processing and data moving between systems. Work with IT in maintaining system integration between Banner and Slate using iDataHub integration tool.
  • Provide daily ad-hoc assistance to Admissions staff on support and troubleshooting applications issues.
  • Represent Admissions department in various interdepartmental meetings and committees.
  • Assists with Open Houses and other Admissions events as necessary.
  • Provides suggestions on new opportunities that would enhance the Admissions experience.



Data and File Management:

  • Serve as the chief administrator of the Slate CRM system, including user permissions.
  • Provide the Vice Provost for Enrollment Management with key data reporting and metrics pertaining to enrollment strategy.
  • Maintain institution-wide reporting throughout the Admissions cycle.
  • Manage the assignment of transcripts to applicant files through the CRM batch acquire intake system.
  • Update Banner student records, in partnership with the Offices of the Registrar and Financial Aid.
  • Work with Admissions, School staff, & Strategic Communications staff to establish recruitment events and registrations within the Slate CRM.
  • Perform and monitor batch processes of bi-directional data movement between the customer relationship (CRM) system and other vital systems that interface with the Office of Admissions. Coordinate Banner SIS record updates with Registrar, Financial Aid, Student Accounts, and IT.
  • Transfers student records from Slate to LaserFiche document management system. Coordinate document management system record updates with Registrar, Financial Aid, Student Accounts, and IT.
  • Monitor and/or perform routine import processes from third parties, including but not limited to testing agencies. Transfer SAT/ACT and AP test scores to SIS from CRM.
  • Resolves duplicate student records in Admissions systems at regular intervals, reporting to other departments on campus, as necessary.
  • Serve as Student DataMart Point of Contact for Admissions and work closely with Counselors to provide training in data management. Review Student DataMart for errors and take corrective action.
  • Investigates and collaborates on technical solutions to ensure the University is keeping up with the latest technological standards in its recruitment efforts.
  • Manage office functions such as: hard copy document uploads to the Slate CRM, prospective student mailings, event registrations, oversee the main Admissions email, the CRM inbox and campus phone switchboard.
  • Maintains documentation relating to Admissions Office systems and processes.
  • Maintains a working knowledge of current issues and trends occurring in online user communities and utilizes those resources to research, identify, and propose process improvements.

Supervision:

  • Oversight of Admissions administrative staff, including the Admissions Office Manager and Campus Receptionist.
  • Partner with the VP of Enrollment Management to ensure efficient daily operations.
  • Assist in support of the full Admissions Staff, including Student Workers and Admissions Ambassadors.

Minimum Qualifications
* Bachelors and 0-2 yrs experience or entry-level with Masters
Preferred Qualifications
Bachelor's degree and 2 yrs experience in technical area preferred.
Experience working with an enrollment CRM (Slate highly preferred)
Experience working with a student information system ( SIS such as Banner).
Experience working with a document management system (such as LaserFiche).
