The Corporate Administrative Assistance position is accountable for providing a variety of general executive administrative support duties, including but not limited to, the essential duties listed below. Although most of the duties of the position may be focused in supporting the corporate/executive department, additional support may be required in other areas, including but not limited to, Human Resources, Marketing, Sales and Purchasing, as coordinated by the manager. These services may be internal, off-site or within a high-profile environment, and require professional interpersonal skills and demeanor, as well as confidentiality, tact, and diplomacy. About You
- Provide administrative assistance and support for select ELT members
- Maintain executive calendars and meetings agendas as needed
- Organize and maintain files and records
- Plan and schedule meetings and appointments
- Manage projects and conduct research as assigned
- Prepare and edit correspondence
- Manage travel arrangements
- Manage expense reports to ensure accuracy and timely reporting
- Manage any guests/visitors for supporting executives
- Perform general and intermediate administrative tasks, word processing, data entry, filing, faxing, scanning and telephone services, as needed
- Respond to written and verbal requests for approved documentation, questionnaires and basic form completion and submission, as trained and authorized
- Perform mailing and distribution tasks for internal and/or external mail and fax delivery, including marketing and promotional materials, and bulk and international mail for supporting executives
- Organize, update, and maintain departmental or company-wide lists, presentation libraries or data files, which may include intranet and internet web page maintenance; and data file management (electronically or in hard copy,) as trained and authorized
- Organize and coordinate executive travel arrangements, office lunches, meetings and events (may include pickup and delivery of food or business-related items)
- Attend all Company sponsored meetings, events or trainings, as requested
- Perform other duties as assigned
Education: High School Diploma or GED is required Qualifications and Experience: Minimum of two years in an administrative type of role Demonstrated ability to perform administrative tasks in a confidential and professional manner
- Demonstrated ability to manage multiple tasks accurately, while meeting priorities and deadlines on time
- High level of organization and flexibility skills
- Ability to be reliable and consistent in attendance and work performance
- Ability to interact well with all levels of management, co-workers, customers and vendors, as needed
- Strong computer-based competency, including Microsoft Suite applications (i.e., Word, Outlook, PowerPoint, and Excel) is required
- Excellent computer skills with experience using the Microsoft Office Suite of programs
