Established in 1964, the UNCSA Foundation, Inc. is a sole-support entity dedicated to the advancement and achievement of the students, faculty and staff of University of North Carolina School of the Arts. The UNCSA Foundation oversees management of funds belonging to the Foundation and prudently applies amounts derived from such funds to support of the School. The Foundation advocates for UNCSA and encourages financial support of the school. The Foundation provides clear and accurate financial information, while operating openly and collaboratively.
The UNCSA Foundation is designated a private, non-profit corporation under the General Statutes of North Carolina and has authority independent of the university. It is governed by an autonomous board of directors, composed of a group of community leaders. The Board is the Foundation's governance and policy-making body. As such, the Board bears fiduciary responsibility for privately fundraised gifts to the University of North Carolina School of the Arts.
Primary Description of Work

Process donations and cash receipts, record and maintain donor and other constituent information including biographical information, work with Advancement staff to ensure proper application of gifts. Process matching gifts including assisting donors with matching gift paperwork. Ensure accuracy of general ledger coding and making corrections as needed with little guidance. Prepare weekly check requests for clearing accounts and various transfers as needed. Working with gift imports and importing gifts. Various database maintenance as needed for UNCSA Foundation. Assist in areas as requested by Foundation Executive Director and Foundation Staff.

Monday through Friday; 8 am -5 pm
Description of Responsibilities and Duties

  • GIFT ENTRY AND CASH RECEIPTS

    • Deposit and process donations, gifts in kind, non donations and cash receipts and reconcile to the bank deposit. Money comes in from various avenues and will need to have an understanding of each source and differences in gift entry. Online (Net Community, Almabase, Donations Forms, JustGiving), mail, hand delivered, stocks, cash, electronic deposits.
    • Review gift and receipt entry for errors. Attention to detail is needed for minimal corrections.
    • Gift imports.
    • Main contact for matching gifts for donors and companies. Update matching gift accounts.
    • Record pledges and assist with pledge reminders. Review outstanding pledges.
    • Assist with preparing gift receipts and update as tax laws change.
    • Assist with preparing, reviewing and correcting year end tax letters.




  • DATABASE MAINTENANCE

    • Ability to identify when adjustments are needed and make adjustments with little to no guidance. This also includes adjustments that may be needed outside of gift entry/cash receipts. Understand the general ledger accounts and how they tie between gift entry and financial reporting.
    • Update constituent records: name changes, address/email/phone updates, and add notes when needed.
    • Donor trends.
    • Ability to create imports as needed.
    • Assist with creating new funds in Raisers Edge (NXT), create new projects in Financial Edge (NXT), and in Blackbaud Stewardship Management. Understand the numbering system and meaning behind each.
    • Assist with attaching backup in constituent records.
    • Create reports as needed and review for accuracy.



  • COLLABORATION AND TRAINING

    • Review and update procedures as needed.
    • Collaborate with Advancement to support overall Advancement and Foundation goals and objectives.
    • Advise staff regarding the proper handling of non-routine transactions.
    • Respond to inquiries from the Executive Director and Assistant Controller, and other managers.
    • Provide training to new and existing staff as needed.
    • Protect organization's value by keeping information confidential.
    • Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.


Minimum Qualifications
Bachelor's degree in business administration or accounting; or Associate's degree in business administration or accounting and one year of experience.

If no applicants apply who meet the required competency level and training and experience requirements, then management may consider other applicants. Salary would be determined based on competencies, equity, budget, and market considerations.
Preferred Qualifications
Five to seven years prior experience in the financial reporting/general ledger/budget or related area. Experience working in not-for-profit is preferred but not required.

Advanced computer skills on MS Office (particularly Excel), accounting software and databases. Experience in Blackbaud products: Raisers Edge, Raisers Edge NXT, Financial Edge, Financial Edge NXT is preferred.

Excellent oral and written communication skills, and the ability to present and explain information that establishes effective communication lines, persuades others and facilitates understanding

Ability to manipulate large amounts of data.

High attention to detail and accuracy.

Strong critical thinking, interpersonal, and customer service skills required.

Ability to multi-task, work under pressure and meet deadlines required.
