Job Summary |
The Sustainable Earth Systems Sciences department is adding to our administrative staff to support our growing department. The
AAI will work with the Administrative Services Officer and Academic Support Coordinator, assisting with routine business and academic activities in compliance with university policies and procedures. The ideal candidate must have attention to detail, accuracy, and the ability to meet strict deadlines. Must possess a high level of integrity and professionalism in working with sensitive data; be proactive in identifying and troubleshooting issues; be able to successfully complete tasks with minimum supervision; compose routine email correspondence; other duties as assigned. |
Minimum Education and Experience |
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience. |
Preferred Education and Experience |
Proficiency in Excel and other Microsoft Office programs. Experience in office administration for educational setting. Experience working with students. |
Essential Duties and Responsibilities |
- Provide reception desk coverage, monitor incoming general emails and distribute inquiries as needed.
- Initiate requisitions, track back orders and confirm receiving.
- Prepare outgoing shipping and track deliveries.
- Assist current department staff with maintenance of department records.
- Help with travel and event coordination.
- Distribute weekly department seminar announcements and other announcements of student interest (job opportunities, internships, volunteer opportunities, policy updates, etc.)
- Aid students and faculty to print scientific posters and other large print jobs.
- Serve as backup to other administrative staff.
- Other duties and responsibilities as may be assigned by the Dept Head.

Physical Demands and Working Conditions |
Office setting primarily. Often physical tasks including walking, stairs, moving equipment and supplies. Occasionally, lifting 25-30 lbs. Operating department vehicles if approved following successful completion of training. |
