Basic Function
The position of Senior Associate Director, Gifts Administration, has a primary function of supervising the Gifts Administration team and managing the gift agreement, fund administration, pledge and gift processing. The gift department is responsible for the receiving, recording, and depositing all funds designated as gifts to the University in a timely, accurate and efficient manner, providing information for acknowledgements of gifts, reports and other necessary items.
Essential Job Functions
Will work closely with the frontline Development team, Institutional Advancement staff, and University Finance. Establish collaborative working relationships and develop/implement enhanced ways of conducting business. Specific responsibilities include:

  • Direct day to day operations of the gift processing and gift administration. Evaluate team capacity and processes to structure workflow and assignments efficiently. Specific supervisory duties include establishing goals and objectives, conducting performance reviews, and providing training.
  • Oversight of acceptance/processing of gifts/pledges. Ensures that donors, brokers and fundraisers are directed to the appropriate support for the multiple donation methods, including checks, online gifts, stocks, wire transfers, and corporate matching programs. Coordinate with fundraisers, Institutional Advancement staff, and University Finance to ensure the proper credit of gifts and pledges is received.
  • Oversight of pledge management related activities. Ensures ongoing maintenance of pledge related data to support pledge reminders. Coordination with fundraisers on the production of recurring pledge reminder communications. Provides up-to-date pledge schedule data to support multi-year pledge revenue forecasting.
  • Establish workflows/processes that are donor-centric/best practice within donor relations and stewardship. Creates/develops a team with expertise to develop/manage solutions for complicated donor gifts.
  • Create and maintain all gift agreements and pledge forms. Serve as the primary contact, working collaboratively with Development Officers, for the paperwork necessary to establish endowments and other funds.
  • Oversight/revisions of policies/procedures relating to gift processing operation. Ability to communicate/collaborate broadly to gain buy-in, acceptance and facility with gift policies. Ensures gift administration staff complete associated training and comply with policies and procedures. Works with fundraising managers to ensure staff receive adequate training and updates regarding gift processing procedures.
  • Oversight/maintenance of gift related data and documentation, to include transaction records, donor agreements, and other gift-related records. Ensures the appropriate storage and archiving for gift related records, per policy.
  • Ensures gift record integrity by conducting and overseeing data audits, running maintenance queries, and performing corrections as needed.
  • Monitor will commitments and other deferred or planned gifts to Denison to anticipate necessary steps for facilitating the realization of those gifts.
  • Acts as liaison between Institutional Advancement and various campus partners to ensure donor funds are being spent appropriately; Gathers information from campus partners to assist in stewardship activities.
  • Performs monthly fund audit to make sure that all endowed funds are fully utilized.
  • Serve as primary liaison with the Investment Office and with Merrill Lynch, administrator of Denison's gift brokerage account.
  • Serve as primary liaison with the Controller's Office. Reconcile Advancement gift records with the Controller's Office. Set up and maintain gift funds (designations).
  • Serve as liaison with Denison's external financial auditors.
  • Act as the University liaison with various banking partners.
  • Serve as an expert in IRS regulations and CASE gift counting guidelines, as well Financial Accounting Standards Board (FASB) and Generally Accepted Accounting Principles (GAAP) where appropriate.
  • Other duties as required.

Minimum Qualifications

  • Bachelor's degree
  • Three to five years of relevant experience
  • Requires experience working with complex databases
  • Strong ability with MS Office Suite including Word and Excel, as well as the Google Suite
  • Excellent organizational and communication skills including a strong ability to work with people including donors and staff
  • Strong analytical skills and understanding of how to use data to drive and support strategy. Experience with analyzing data and creating reports.


Preferred Qualifications

  • Supervisory experience
  • Raiser's Edge experience or experience with databases in a non-profit setting
  • Experience with fund accounting
  • Experience in a University setting
  • Experience with IRS laws governing charitable giving and CASE campaign guidelines
  • Adeptness and positive manner to work well under pressure, handle several projects simultaneously, and reprioritize as needed.
  • Demonstrated initiative and ability to work independently and as part of a team
  • Strong "can-do," positive, flexible demeanor
